Automations & Triggers Overview

Automations in Enrollio let you build sequences that respond to family actions — like submitting a tour request or completing an enrollment form. When a family enters an automation, they move through each step you've configured.

Task events and triggers help your team stay on top of internal follow-ups without manual tracking. You can automatically assign tasks to staff members and trigger additional actions based on how those tasks are handled.

How to Create a Task Event in Automations

Task events let you assign internal action items to your team at key moments in a family's enrollment journey. These tasks act as reminders or manual to-dos that need to be completed when a family reaches a specific step in your automation.

Use task events to streamline your center's operations — like reminding a staff member to follow up with a prospective family, make a welcome call, or prepare enrollment paperwork.

Setting Up a Task Event

  1. Navigate to Automations in your Enrollio dashboard
  2. Select the automation where you want to add a task, or create a new one
  3. Click the + button to add a new step
  4. Select Task from the action options
  5. Configure your task details:
    • Task Name: Give it a clear, action-oriented title (e.g., "Call prospective family about infant program")
    • Due Date: Set when the task should be completed (immediately, or after a delay)
    • Priority: Mark as high, medium, or low priority
    • Assigned To: Choose which team member should handle this task
    • Notes: Add any context or instructions the assignee needs
  6. Click Save

Pro Tip: Use clear, specific task names that tell your team exactly what needs to be done. Instead of "Follow up," try "Call Jones family to schedule infant room tour."

How to Set Up a Task Reminder Trigger

Task reminder triggers let you start new automations based on what happens with tasks — like when they're completed, assigned, or their status changes.

This is useful when you want follow-up actions to occur automatically based on how your team handles tasks. For example, you might send a confirmation text to a family once a staff member marks their welcome call task as complete.

Creating a Task Reminder Trigger

  1. Go to Automations in your dashboard
  2. Click Create Automation
  3. Select Task Reminder as your trigger type
  4. Choose which task action should start the automation:
    • Task completed
    • Task assigned
    • Task status changed
  5. Add filters if you want the trigger to fire only for specific tasks or assignees
  6. Build out the automation steps that should follow
  7. Click Save and activate your automation

Example Use Cases

Enrollment follow-up: When a staff member completes a "Review enrollment application" task, automatically send the family a text with next steps.

Tour scheduling: When a "Call for tour scheduling" task is assigned, send the staff member a notification with the family's preferred dates and times.

Waitlist management: When a "Contact waitlist family" task is marked complete, update the family's status in your enrollment pipeline.

Pro Tip: Combine task events with task reminder triggers to create closed-loop processes. For example, create a task for a welcome call, then use a task reminder trigger to send enrollment paperwork once that call is marked complete.
