AI-Powered Appointment Booking in Automations
Let Enrollio AI handle tour bookings for you. The AI Appointment Booking action in your automations can chat with prospective families, answer questions, and schedule tours automatically — all while matching your center's personality.
How It Works
Add the "AI Appointment Booking" action to any automation. When a prospective family reaches this step, Enrollio AI will engage them in conversation, suggest available tour times from your calendar, and book the appointment when they choose a slot.
If the AI can't secure a booking, the automation branches to "Appointment Not Booked" where you can add a fallback (like notifying your staff). If the family stops responding, a "Timeout" branch lets you follow up later.

Calendar
Select which calendar the AI should use to check availability and book appointments. This is typically your tour calendar.
Note: Recurring calendars are not supported for AI booking.

Use these text boxes to shape how the AI communicates. Add your center's voice, specific talking points, or requirements.
Example personality: "You're a warm, helpful assistant at Sunshine Childcare. You love helping families find the perfect tour time. Keep responses friendly and concise."
Example instructions: "Always mention that tours last 30 minutes. If parents ask about pricing, let them know we'll discuss that during the tour."

Set how many back-and-forth messages the AI will attempt before giving up. If booking isn't successful within this limit, the family moves to the "Appointment Not Booked" branch.
Range: 5-25 messages
Recommended: 15 messages
This prevents endless conversations and ensures you can step in when needed.
Timeout Settings
Choose how long the AI waits for a response before timing out. If the family doesn't reply within this window, they move to the "Timeout" branch.
Pro tip: Add a "Go To" action in the Timeout branch that loops back to this AI action. This lets the AI send a gentle follow-up message to re-engage the family.

Select which communication channel the AI will use:
- SMS/Text — Text message conversations
- Facebook Messenger — Facebook page messages
- Instagram — Instagram direct messages
The AI only responds on the channel you select here.
Confirmation Message
By default, the AI sends a confirmation message when a tour is booked (example: "Perfect! You're scheduled for Tuesday, March 15th at 2:00 PM").
Check the "Don't let the bot send confirmation message" box if you want to send your own custom confirmation instead. The family will immediately move to the "Appointment Booked" branch, where you can add your personalized message.
Important: If you disable the AI's confirmation, make sure you add a message in the "Appointment Booked" branch so families know their tour is confirmed.

After configuring the AI action, set up what happens next in each branch:
Appointment Booked Branch
The family successfully scheduled a tour. Consider adding:
- A warm confirmation message with tour details
- A reminder about what to bring or expect
- Internal notification to your enrollment team
- Tags to track that this family has a tour scheduled
Appointment Not Booked Branch
The AI couldn't secure a booking. Common next steps:
- Send a message asking if they'd like to speak with someone directly
- Create a task for your enrollment coordinator to follow up
- Send the family your phone number and hours
Timeout Branch
The family stopped responding. You can:
- Use a "Go To" action to loop back to the AI action for a follow-up attempt
- Wait a few hours, then send a re-engagement text
- Exit the automation and add them to a nurture sequence
Pro Tips
Test your AI personality: Send test messages through the automation to see how the AI responds. Adjust the personality and instructions until it sounds like your team.
Keep instructions specific: Instead of "be helpful," try "Always offer morning and afternoon tour times. If someone asks about availability this week, prioritize Tuesday and Thursday."
Monitor the Not Booked branch: If many families end up here, your AI personality or calendar availability might need adjustment.
Mobile-friendly: Most families will interact via text on their phones. Keep your AI's personality conversational and responses brief.
