Business Organization Automation

The Business Organization Automation helps you automatically group families under the same business or organization. When parents work for the same company or families are part of the same organization, Enrollio can automatically create these business records and link the right families to them.

This is especially helpful for corporate childcare partnerships, multiple families from the same employer, or when you're tracking families by their workplace.

How Business Organization Automation Works

To access Business Organization Automation, go to Settings → Objects → Business.

When you enable Automatically Create and Associate Businesses from Family Business Names, Enrollio will:

  1. Look at all families that have a business name filled in
  2. Create business records for each unique business name
  3. Link families to their matching business automatically

Important Details About Business Names

Business names are not case-sensitive. If one family lists "ABC Company" and another lists "abc company", Enrollio creates just one business record for ABC Company.

Spacing matters. "ABC Company" and "ABCCompany" are treated as two different businesses. Make sure your team enters business names consistently.

Spelling must match exactly. Even one letter difference creates separate businesses. "Smith & Associates" and "Smith and Associates" will be two different records.

What Information Gets Copied

When a business record is created, these fields are automatically copied from the family record:

  • Street address
  • City
  • State
  • Country
  • Postal code
  • Website

Pro Tip: If multiple families work for the same business but have different addresses listed, Enrollio uses the information from the most recently created family record.

Different Scenarios

One Family, Unique Business Name

Enrollio creates a new business record and links that family to it.

Multiple Families, Same Business Name and Details

Enrollio creates one business record and links all matching families to it. Perfect for corporate partnerships.

Multiple Families, Same Business Name but Different Details

Enrollio creates one business record and links all families. The business details come from whichever family record was created most recently.

Important Limitations

Who Can Enable This Feature

Only admin users can turn on Business Organization Automation. Team members with standard user roles will see the setting but can't enable or disable it.

Existing Business Associations

If a family is already linked to a business, they won't be moved to a different one — even if their business name field shows something different. The automation only affects families without existing business associations.

One-Time Migration

When you first enable the automation, Enrollio processes all existing families with business names. After that initial migration, it automatically syncs new families as they're added.

Note: If you turn the automation off and then back on, Enrollio picks up where it left off and processes any remaining families.

Changes After Setup

This automation doesn't work backward. Once families are organized under businesses:

  • Changing a family's business name field won't move them to a different business
  • Updating business details won't update the original family records
  • Changes to the business name in the business record won't update family records

Importing Families with Business Names

The automation works with families added through bulk import, forms, or the API.

When importing a CSV file, make sure you:

  1. Include a column header called "Business Name"
  2. Fill in business names for families you want grouped
  3. Double-check spelling and spacing — mistakes create separate business records

Pro Tip: If you import families with incorrect business names, you'll need to delete those family records and re-import them with the correct information. Enrollio can't restore deleted families — you'll create new records with the corrected data.

Activity Tracking

Enrollio tracks all activity related to Business Organization Automation:

  • Who enabled or disabled the automation
  • Which families were linked to businesses
  • When business records were created or updated

You can review this history in your activity logs.

Best Practices

Standardize business names before importing. Create a list of your corporate partners and ensure everyone on your team spells them the same way.

Clean up your data first. Before enabling automation, review existing family records and standardize business names where needed.

Train your team. Make sure everyone entering new families knows how to spell and format business names consistently.

Use this for corporate partnerships. Business Organization Automation shines when you have multiple families from the same employer or organization. It makes it easy to see all families tied to a corporate childcare benefit.
