Overview
You can use automations to send Instagram direct messages to families who engage with your childcare center's Instagram page. This helps you respond quickly to inquiries and stay connected with prospective families.
Important: Instagram has strict messaging rules. You can only send a DM to someone who has messaged your page within the last 24 hours. This is a Meta (Instagram's parent company) requirement, not an Enrollio limitation.
When to Use Instagram DM Actions
Instagram DM actions work best when:
- A parent or family messages your Instagram page
- Someone comments on your Instagram post and you want to follow up privately
- You need to send a quick response during off-hours
Setting Up an Instagram DM Automation
Step 1: Choose Your Trigger
Start your automation with one of these triggers:
- Customer Replied (set reply channel to Instagram DM) — triggers when someone sends you a direct message
- Instagram Comment(s) on Post — triggers when someone comments on your post
Step 2: Add the Instagram DM Action
In your automation builder:
- Click Add Action
- Select Instagram DM
- Choose an existing message template or write your own
- Customize your message with merge fields like {{first_name}} or {{childcare_center_name}}
Step 3: Add Attachments (Optional)
Want to send a brochure, enrollment form, or tour booking link? You can attach files to your Instagram DMs:
- Click Add Attachment
- Upload a file from your computer or enter a file URL
- Supported formats include PDFs, images, and documents
Pro Tip: Create templates for common responses like "Thanks for your interest! Here's our enrollment packet" or "We'd love to schedule a tour. What day works best for you?"
Understanding Instagram's 24-Hour Rule
Instagram only allows businesses to send DMs to contacts who have messaged them within the last 24 hours. Here's how this affects your automations:
If someone comments on your post:
- If they've also DMed you recently (within 24 hours), the automation will send a direct DM
- If they commented but haven't DMed you recently, the automation will reply to their comment instead
If someone sends you a DM: Your automation will work immediately, since they just initiated contact.
Recommended: Use Instagram Interactive Messenger Instead
For more control over how you respond to Instagram engagement, use the Instagram Interactive Messenger action instead. It gives you two reply options:
- Reply to Comment via DM — automatically moves the conversation from public comment to private message
- Reply to DM — responds directly to an incoming message
This action is more flexible and works better for childcare centers managing both comments and DMs. Learn more about Instagram Interactive Messenger.
Important Note About Recent Changes
Prior to August 31, 2024, a bug on Meta's side allowed you to send DMs to anyone who commented on your posts, regardless of the 24-hour rule. Meta has fixed this bug, so Instagram DMs now follow their official messaging policy.
This means you need to be strategic about when and how you use Instagram DM automations. Focus on quick responses to incoming messages, and use comment replies for public engagement.
Heads Up: If your Instagram DM automation isn't working, check whether the contact has messaged your page in the last 24 hours. If not, consider using a comment reply or waiting for them to initiate contact.
Best Practices for Childcare Centers
- Respond quickly: Set up automations to acknowledge DMs within minutes, even during busy hours
- Be personal: Use merge fields to personalize messages with names and specific details
- Offer value: Include enrollment information, tour booking links, or answers to common questions
- Stay compliant: Never spam or send unsolicited messages — only respond to families who reach out first
- Monitor conversations: Automations start the conversation, but make sure your team follows up personally
