Overview

Tasks help you stay organized by creating follow-up reminders for your team. You can add task events directly in your automations to ensure important actions never get missed.

Note: This article covers task events in automations. Tasks help you track action items for enrollments, tours, parent follow-ups, and more.

When to Use Task Events

Task events work great for:

  • Following up after a tour is scheduled
  • Reminding staff to check in on waitlist families
  • Creating action items when an enrollment opportunity moves stages
  • Setting reminders to send enrollment contracts

How to Add a Task Event

  1. Open your automation in the Automation Builder
  2. Click the + button where you want to add the task
  3. Select Create Task from the action menu
  4. Fill in the task details:
    • Task Title: Brief description (e.g., "Follow up with Smith family")
    • Assigned To: Choose which team member should complete this task
    • Due Date: Set when the task should be completed
    • Description: Add any context or instructions needed
  5. Click Save

Task Assignment Options

You can assign tasks to:

  • A specific team member
  • The family's assigned enrollment coordinator
  • The user who triggered the automation

Pro Tip: Use dynamic assignment to route tasks to the right person automatically. For example, assign tasks to whoever is managing a specific enrollment opportunity.

Setting Due Dates

Choose when your task should be completed:

  • Immediate: Task is due right away
  • Specific Date: Pick an exact date and time
  • Relative: Set a date relative to when the automation runs (e.g., 2 days from now)

Adding Context to Tasks

Include helpful information in your task description using custom fields:

  • Parent names and contact information
  • Child's age or requested start date
  • Notes from the initial inquiry
  • Links to forms or documents

This gives your team everything they need without digging through records.

Task Reminders

Want to make sure tasks don't get forgotten? Set up task reminder automations that send notifications when due dates approach.

Common Examples

After Tour Scheduled

When a parent books a tour, create a task for your enrollment coordinator to prepare materials and review the family's profile.

Waitlist Check-In

When a family is added to your waitlist, create a monthly task to check in and update them on availability.

Enrollment Follow-Up

When an enrollment opportunity reaches "Verbal Commitment," create a task to send the enrollment agreement within 24 hours.

Viewing Your Tasks

Once created, tasks appear in:

  • Your main Tasks dashboard
  • The assigned team member's task list
  • The family's activity timeline

Team members receive notifications about new tasks and can mark them complete when finished.
