Overview

This trigger starts automations when a viewer reaches a specific percentage of a video on your enrollment pages. Use it to follow up with prospective families based on how engaged they are with your center's content.

Important: The viewer must already exist in your Enrollio account as a parent or family contact for this trigger to work.

How It Works

The Video Tracking trigger monitors when someone watches your video content and fires when they reach a percentage you define — like 25%, 50%, 75%, or 100% completion.

This lets you send personalized follow-ups to families who are showing interest in your program by watching your videos.

Before You Start

Make sure your video is set up correctly for tracking:

  • Disable the progress bar in your video settings for accurate tracking
  • If you want to track new visitors who aren't in your system yet, create a form that captures their information before they watch the video

How to Set It Up

  1. Go to Automations and create a new automation
  2. Click Add Trigger and select Video Tracking
  3. Configure these filters:
Filter What It Does Required?
Landing Page Choose which enrollment page contains the video No
Video Select which video to track No
Video Duration (%) Set the percentage that triggers the automation (e.g., 25%, 50%, 75%, 100%) No
  1. Add your follow-up actions (email, text message, task assignment, etc.)
  2. Save and activate your automation

Examples

Example 1: Tour Video Follow-Up

You've created a virtual tour video of your center. Set up these automations:

  • 50% watched: Send a text message asking if they have questions about your program
  • 100% watched: Send an email inviting them to schedule an in-person tour with a special enrollment incentive

This lets you respond based on how interested each family is, giving more engaged prospects warmer outreach.

Example 2: Curriculum Overview Engagement

Track engagement with your curriculum video to prioritize hot leads:

  • 25% watched: Tag the family as "Interested - Low"
  • 50% watched: Tag as "Interested - Medium" and assign to enrollment coordinator
  • 75% watched: Tag as "Interested - High" and send immediate follow-up
  • 100% watched: Create a task for your director to call within 24 hours

Higher engagement means higher priority — your team knows exactly who to reach out to first.

Example 3: Re-Engage Families Who Didn't Finish

Follow up with families who started but didn't complete your video:

  • Watched less than 50%: Add them to a "Needs Nurturing" list and send a follow-up email the next day with a link to continue watching

Sometimes families get interrupted — a gentle reminder can bring them back to learn more about your program.

Pro Tips

Tip: If you don't set a specific percentage, the trigger fires whenever someone closes the video window — regardless of how much they watched.

Tip: To trigger when someone watches at least a certain percentage (like 20% or more), change the operator from "Equals to" to "Greater than or Equal to" in your filter settings.

Tip: The automation tracks every time someone closes the video. If you have "Allow Re-entry" turned on, the same family can trigger it multiple times if they watch again.

Common Questions

When exactly does the trigger fire?
When the viewer closes the video window or completes the video.

What if someone watches the video multiple times?
If "Allow Re-entry" is enabled in your automation settings, they'll re-enter the automation each time they meet your criteria.

Can I track visitors who aren't in my system yet?
Create a form that collects their information before they can access the video. This adds them to your account so tracking works.
