Overview
Enrollment pipelines help you visually track families as they move through your enrollment process—from initial inquiry to confirmed enrollment. Each enrollment opportunity progresses through defined stages, giving you clear visibility into where every prospective family stands and what actions you need to take next.
Updated Pipelines Experience
The Pipelines page now features a cleaner, more modern design for easier navigation and safer editing. To enable this updated experience, go to Client Account → Labs.
You can access Pipelines from: Client Account → Opportunities → Pipelines

This view displays all your enrollment pipelines, showing the number of stages in each pipeline and when it was last updated.
Why Enrollment Pipelines Matter
Pipelines help you run a more organized enrollment process by:
- Improving visibility — Instantly see where every prospective family is in your enrollment journey
- Maintaining consistency — Standardize how families move through your process, ensuring nothing falls through the cracks
- Increasing efficiency — Set up automations for follow-ups, tour reminders, and task assignments based on stage changes
- Tracking performance — Monitor conversion rates, identify bottlenecks, and measure your enrollment success
Pipeline Stages
An enrollment pipeline is made up of stages, with each stage representing a step in your enrollment journey. Enrollment opportunities move from left to right as families progress through your process.
Stages should be clearly defined and action-oriented so your team knows exactly when to move a family forward.

From the pipeline editor, you can rename stages, reorder them, control reporting visibility, add new stages, or delete existing ones.

When you delete a stage, you can move all existing enrollment opportunities to another stage—you won't lose any data.
How it works:
- Navigate to Opportunities → Pipelines
- Open the pipeline you want to edit
- Click the delete icon next to the stage
- Select a destination stage to move existing opportunities
- Confirm the deletion
All enrollment opportunities from the deleted stage are automatically transferred to the stage you selected.
Example Pipeline Stages
Example: Standard Enrollment Pipeline
- New Inquiry — Initial contact from website form, phone call, or chat
- Tour Scheduled — Family has booked a center tour
- Tour Completed — Tour happened, follow-up needed
- Application Submitted — Family submitted enrollment application
- Enrolled — Contract signed and family is confirmed
- Waitlisted — No immediate availability, added to waitlist
- Not Interested — Family declined or went elsewhere
Example: Waitlist Pipeline
- New Waitlist Request — Family expressed interest but no current openings
- Spot Available — Opening came up, family contacted
- Tour Scheduled — Family wants to visit before deciding
- Enrolled — Family accepted the spot
- Declined Spot — Family no longer interested
Best Practices
Keep It Simple
Limit your pipeline to only the stages that matter most. Too many stages can slow down your process and create confusion for your team.
Automate Smartly
Use pipeline-based automations to reduce manual work:
- Send follow-up texts when families stay in a stage too long
- Assign tasks to staff when opportunities reach key stages
- Trigger tour reminders automatically
Review Regularly
On a weekly or monthly basis:
- Remove outdated opportunities
- Update stage definitions as your enrollment process evolves
- Review conversion data and performance trends
Data-Driven Optimization
Enrollment pipelines aren't just organizational tools—they provide insight into your center's performance. Use pipeline reporting to answer questions like:
- Where do families drop off most often?
- Which stage takes the longest to complete?
- What is the enrollment rate at each stage?
Use these insights to continuously improve your enrollment process and conversion rates.
Common Use Cases
Infant Care Enrollment
Inquiry → Waitlist → Spot Available → Tour Scheduled → Application → Enrolled
After-School Program
New Inquiry → Info Sent → Registration → Payment → Confirmed
Summer Camp
Inquiry → Brochure Sent → Registration Open → Deposit Paid → Fully Enrolled
These examples can be adapted to fit your specific program types and enrollment process.
