Overview
Enrollment pipelines help you organize and track families as they move through your enrollment process—from initial inquiry to enrolled student. You can visualize every stage of the journey, automate follow-ups, and see exactly where each family stands.
Think of pipelines as your enrollment roadmap. Each stage represents a step families take: Tour Scheduled → Tour Completed → Application Submitted → Enrolled.
How Pipelines Work in Enrollio
Pipelines power your enrollment tracking, reporting, and dashboards across the platform. They help you:
- Visualize where each prospective family is in your process
- Automate follow-ups based on enrollment stage
- Generate reports on conversion rates and bottlenecks
- Keep your team aligned on family status
Creating Your First Enrollment Pipeline
Step 1: Access the Pipelines Section
- Go to your Client Account
- Click Opportunities from the left sidebar
- Select Pipelines from the top menu
Step 2: Create a New Pipeline
- Click Create new pipeline in the top-right corner
- Enter a descriptive name (e.g., "Full-Time Enrollment" or "Infant Program")
- Click Save
Important: Pipeline names must be unique. You can't create two pipelines with the same name in your account.

After creating your pipeline, define the stages that represent your enrollment process.
To add stages:
- Enter a Stage Name (e.g., "Tour Requested", "Tour Completed", "Application Submitted")
- Click Add stage
- Repeat to build out your complete enrollment flow
To manage stages:
- Use the up and down arrows to reorder stages
- Click the funnel and pie chart icons to control visibility in reports
- Click the trash icon to delete a stage
Good to know: Won and Lost stages are created automatically—you don't need to add them manually. Use "Won" for enrolled families and "Lost" for families who chose another center.

Need to remove a stage? Enrollio protects your data by letting you move existing enrollment opportunities to another stage first.
- Open the pipeline you want to edit
- Click the delete icon next to the stage you want to remove
- Select a destination stage for any families currently in that stage
- Confirm the deletion
All enrollment opportunities from the deleted stage automatically move to your selected stage—no data lost.
Step 5: Configure Dashboard Visibility
Control which pipelines and stages appear in your dashboards and reports.
You can enable or disable visibility in:
- Funnel charts (conversion visualization)
- Pie charts (stage distribution)
Use the icons next to each stage to control stage-level visibility. This helps you focus reports on the metrics that matter most to your enrollment team.

Do I need to create Won and Lost stages manually?
No. Enrollio automatically adds Won and Lost stages to every pipeline. Use "Won" when a family enrolls, and "Lost" when they choose not to enroll.
What happens to enrollment opportunities if I delete a stage?
You'll be prompted to move all families in that stage to another stage during deletion. This prevents any data loss and keeps your enrollment tracking intact.
Can I rename a pipeline after creating it?
Yes, as long as the new name is unique within your account. Just edit the pipeline name and save.
How many pipelines should I create?
Most childcare centers start with one main enrollment pipeline. As you grow, you might create separate pipelines for different age groups (infants, toddlers, preschool) or program types (full-time, part-time, drop-in) to track conversion rates separately.
