What is Email Forwarding in Conversations?
Email Forwarding lets you take any inbound email inside a Conversation and send it directly to external recipients—no need to leave Enrollio. The forwarded message keeps the original formatting and content intact, so reviewers, partners, or colleagues see exactly what the parent sent.
This is especially helpful when you need to loop in a director, share a parent inquiry with your tours team, or escalate a question to a specialist—all while keeping your Conversations inbox as your single source of truth.
Key features:
- Forward any inbound email to external recipients right from the thread
- Preserve original content and formatting for full context
- Keep the complete history inside the same Conversation for your team
Why Use Email Forwarding?
Forwarding helps your childcare team stay coordinated without switching between apps or losing context. Here's what makes it valuable:
- Single Workspace: Keep Conversations as your hub for all parent communication and actions
- Faster Escalations: Route parent messages to reviewers or specialists in just a few clicks
- Consistency: Preserve original formatting so stakeholders see exactly what the family sent
- Traceability: Every forward appears in the Conversation timeline so your team knows what was shared and when
- Focus: Reduce errors and context loss compared to copying and pasting between tools
Permissions & Requirements
Before you can forward emails, make sure your account is set up correctly:
- An active email channel must be connected to your account (Gmail via 2-way sync, Outlook via 2-way sync, or SMTP)
- You must have access to Conversations and permission to send emails
- Mobile availability may vary; if you don't see the Forward option, use the web app
Forwarding uses your account's configured sending mailbox and routing rules, just like regular outbound emails.
How It Works: Sender & Formatting
Sender Address & Display Name
When you forward an email, recipients see the sender address configured in your Enrollio email settings. This follows your existing Sending Priority rules.
The "From" name follows your current account settings. Editing the From name for individual forwards is planned as a future enhancement.
Attachments & Formatting
Forwarded emails preserve the original message content and formatting so recipients see what the parent actually sent.
- Inline images and email signatures are included when supported
- Attachments from the original email are included automatically
- Very large files or blocked file types may be excluded by your email provider's security settings
- Standard provider limits (file size, attachment types) still apply
Threading & Record-Keeping
Every forward appears in the same Conversation as an outbound email event. Your team can see who forwarded the message, when they sent it, and who received it.
If the recipient replies to your forwarded message and you have 2-way sync enabled, their reply routes back to Enrollio and appears in the same Conversation thread.
How to Forward an Email
Follow these steps to forward a parent email to anyone outside your Enrollio account:
- Go to Conversations and open the thread containing the email you want to forward
- Click the kebab menu (three dots) on the email message
- Select Forward from the menu
- In the Forward composer, add recipient email addresses in the To field
- Optionally add CC or BCC recipients if needed
- Review the Subject line (it will be prefixed with "Fwd:" by default) and edit if needed
- Add any context or notes in the message body above the original email
- Confirm attachments and inline images are present
- Click Send
The forwarded message posts to your Conversation timeline immediately so your team knows what was shared.

If forwarding isn't working as expected, try these solutions:
Can't See the Forward Option
- Make sure you're viewing an email message (not a text message or other channel)
- Verify you have permission to send emails in Conversations
- Confirm an email channel is connected to your account
- Try using the web app if you're on mobile
Bounces or Delivery Errors
- Check the error message in the Conversation timeline for specific details
- Review your domain DNS settings and sender reputation
- Verify you haven't hit daily or hourly sending limits with your email provider
Missing Attachments or Broken Formatting
- Very large files may be stripped by your email provider—try sharing via a secure link instead
- Blocked file types (like .exe or .zip in some cases) may be removed for security
- Certain inline formats may not survive forwarding—attach files manually if needed
Replies Not Threading Back
- Confirm 2-way sync is active and healthy for your sending mailbox
- Check that replies are being sent to the correct email address
Unexpected Sender Address
- Review your Sending Priority settings to see which mailbox Enrollio selected
- Verify the mailbox connected to this Conversation's email channel
Frequently Asked Questions
Which email address do recipients see when I forward?
Recipients see the address configured in your account's Sending Priority settings and the mailbox connected to this Conversation's email channel.
Does forwarding create a new Conversation?
No—the forward posts as an outbound message in the same Conversation so your team retains full context and history.
Are internal notes or private comments included in a forward?
No—only the email content you include in the forward is sent externally. Internal notes stay inside the Conversation for your team only.
What happens if the recipient replies to my forwarded message?
With 2-way sync active, replies route back to your connected mailbox and appear in the same Conversation thread automatically.
Is forwarding available on mobile?
Mobile availability may vary. If you don't see the Forward option in the mobile app, use the web version of Enrollio.
Can I forward to multiple people at once?
Yes—add multiple email addresses in the To field, or use CC/BCC to include additional recipients.
