Troubleshoot and Fix Calendar Double Booking

Double bookings can disrupt your tour schedule and create confusion for families. If you're seeing overlapping appointments on your Enrollio calendar, here's how to identify and fix the issue.

Common Causes of Double Booking

Double bookings typically happen when your calendar settings aren't configured to check for conflicts. This is especially common when you're syncing with external calendars like Google Calendar or managing multiple staff schedules.

Check Your Calendar Conflict Settings

Your calendar needs to know which other calendars to check before allowing a booking. If you're using Google Calendar for personal events or other staff members' schedules, make sure these are set as conflict calendars.

Review Your Calendar Sync Options

When syncing with external calendars, you have several options that control how events are shared and checked. Understanding these settings is crucial to preventing double bookings.

Key sync settings include:

  • One-way sync — Events from your external calendar block time in Enrollio, but Enrollio bookings don't appear in your external calendar
  • Two-way sync — Events sync in both directions between Enrollio and your external calendar
  • Conflict checking — Enrollio checks the external calendar before allowing a booking

Setting Up Group Calendars for Multiple Staff

If you have multiple staff members conducting tours, use a group calendar that checks all team members' availability. This prevents families from booking tours when no one is available.

  1. Navigate to Settings → Calendars
  2. Click Create Calendar and select Group Calendar
  3. Add all staff members who conduct tours
  4. Enable Check for conflicts across all team members
  5. Connect each team member's Google Calendar as a conflict calendar

Pro Tip: If your tours require specific rooms or resources, set up separate calendars for each room and link them as conflict calendars. This prevents booking two tours in the same space at the same time.

Verify Your External Calendar Connection

Sometimes double bookings occur because your Google Calendar connection has expired or lost permission. Re-authenticate your calendar connection to ensure Enrollio can properly check for conflicts.

  1. Go to Settings → Integrations
  2. Find your Google Calendar connection
  3. Click Reconnect or Refresh Authorization
  4. Grant all requested permissions

Test Your Calendar Configuration

After adjusting your settings, test your calendar to confirm double bookings are prevented:

  1. Create a test event in your external calendar during business hours
  2. Visit your tour booking page as a prospective parent would
  3. Verify that the blocked time doesn't appear as available
  4. Try booking two appointments at the same time — the system should prevent this
