Managing and Merging Duplicate Parent Records
Duplicate parent records clutter your database, skew enrollment reports, and can cause confusion when you're reaching out to families. The Duplicate Management & Merge Tool helps you find, review, and merge duplicates based on email, phone, or name—all in one streamlined interface.
This article shows you how to clean up duplicate records and keep your parent database organized.
What is the Duplicate Management & Merge Tool?
Enrollio's Duplicate Management & Merge Tool scans your entire parent database for identical or near-identical records, groups them together, and lets you merge up to ten records into one "master" record. You won't lose notes, tasks, tags, messages, or custom fields in the process.
Why Use Duplicate Management?
- Fast cleanup: Eliminate redundant records in minutes—no spreadsheet exports needed
- Complete family history: Consolidate messages, notes, tags, and custom fields for a complete view of each family
- Better communication: Prevent sending multiple texts or emails to the same parent
- Accurate reporting: Get reliable enrollment analytics without duplicates skewing your numbers
- Less confusion: Reduce headaches from fragmented or conflicting parent information
Who Can Use This Feature
| Role | Access |
|---|---|
| Admin | ✅ Full access to find and merge duplicates |
| Staff Members | ❌ No access |
Important Limits
- You can merge up to 10 records per batch
- Duplicate detection looks at primary email and primary phone fields only
- Merges are permanent and cannot be undone
Best Practices
- Run duplicate scans regularly—weekly if you have high enrollment activity, monthly otherwise
- Always review field conflicts carefully before merging
- Only use the "Reject" option when you're certain a record isn't actually a duplicate
- Train your team to enter parent information consistently to prevent future duplicates
How to Find and Merge Duplicate Records
Step 1: Open the Duplicate Management Tool
Note: Only Admins can access this feature. It works in both the classic and new parent list views.
- Click Parents from your dashboard
- Click the ⋮ (three-dot menu)
- Select Manage Duplicates

Step 2: Search for Duplicates
- Choose how you want to find duplicates:
- Email (recommended—most reliable)
- Phone
- Name
- Click Find Duplicates
Enrollio will scan your database and display all duplicate groups that match your selected field.

Step 3: Review Duplicate Groups
Once the scan completes, you'll see a list of potential duplicate groups.
- Click the down arrow next to any group to expand it
- Review all records in that group

Step 4: Review Field Conflicts
Before merging, you can review exactly what will happen to each field.
- Click Review on any duplicate group
- You'll see conflicting fields (phone number, tags, address, etc.) displayed side-by-side
- Choose which value to keep for each field
- Combine tags or other details as needed
- Select the primary email and phone number
- Make sure no duplicate enrollment opportunities will be created
- Click Merge Parents when ready

Step 5: Reject Non-Duplicates (Optional)
Sometimes the tool flags records that aren't actually duplicates—maybe two different parents with the same name.
- Click Reject on any group that shouldn't be merged
- Confirm in the popup that appears
Important: Rejected emails, phone numbers, or names won't appear in future duplicate scans. This action can't be reversed, so only reject when you're certain.
Step 6: Merge Your Selected Records
Remember: This process cannot be undone. Review everything carefully.
- Select up to 10 records to merge (you'll see "Limit reached 10/10" when you hit the maximum)
- Choose one record as the Master—this will keep the main details like name, email, and phone
- All related data (tasks, enrollment opportunities, notes, tour history, etc.) from the other records will combine into the master record
- Click Merge
- Review the confirmation dialog that appears
- Check the box to confirm you understand this can't be undone
- Click Merge Duplicates to finalize

The merge happens immediately. All messages, notes, enrollment opportunities, tasks, and custom fields from the duplicate records now appear under the master record.
Troubleshooting
| Issue | Possible Cause | Solution |
|---|---|---|
| "No duplicates found" | The scan criteria was too narrow | Try switching to another search method (Phone or Name instead of Email) |
| "Limit reached (10/10)" | Too many records selected at once | Merge the first 10, then return to merge the next batch |
| Merge button is disabled | Confirmation box not checked | Check the "I understand this cannot be undone" box |
| Can't see merge option | You're not logged in as an Admin | Ask your Admin to merge the records or grant you Admin access |
Frequently Asked Questions
What if I have "Allow Duplicate Records" turned on?
You can still create duplicate parent records through forms or imports. The Manage Duplicates tool will find them during your next scan so you can merge them manually.
Can I undo a merge?
No. Merges are permanent. Always verify your field selections carefully before confirming.
Will tour appointments, enrollment opportunities, or messages be lost?
No. All related information moves to the master record during the merge (unless you manually deselect it during review).
How often should I run a duplicate scan?
If you're actively enrolling families, scan weekly. Otherwise, monthly scans work well—or run one after any bulk import.
What happens to active automations when I merge duplicates?
If a duplicate record is deleted during a merge, Enrollio transfers the automation to the master record so it continues without interruption.
What if the master record is already in the same automation?
Enrollio stops the duplicate automation and keeps only the one already running for the master record. In your execution logs, you may see: "Contact removed from automation because the merged master record was already enrolled."
