Advanced Filters for Custom Objects

Custom objects let you track anything specific to your childcare business — from classroom assignments to parent volunteers to facility maintenance schedules. When you need to find specific records quickly, advanced filters help you zero in on exactly what you're looking for.

This guide shows you how to use advanced filters to search through custom object records using multiple criteria at once.

How to Use Advanced Filters for Custom Objects

Step 1: Open the Advanced Filters Panel

Navigate to your Custom Objects page and look for the "Advanced Filters" button in the top right corner.

Step 2: Choose Your Filter Fields

Once the Advanced Filters panel opens, you can search for or browse the fields you want to filter by.

  • Use the search bar at the top to quickly find a specific field
  • Expand categories to see all available fields
  • Select both default fields and any custom fields you've created

Pro tip: Custom fields you've added to your object will appear alongside the default fields, making it easy to filter by anything that matters to your center.

Step 3: Build Your Filter Logic

Now it's time to combine multiple filters to narrow your results.

  1. Select the first field you want to filter by
  2. Choose your filter condition (equals, contains, is greater than, etc.)
  3. Enter or select the value you're looking for
  4. Click "And" to add filters that must all match, or "Or" to add alternative criteria
  5. Continue adding filters until you've defined your search

Example use cases:

  • Find all families enrolled in Toddler Room AND on the monthly payment plan
  • Show records created in the last 30 days OR updated this week
  • List all parent volunteers who speak Spanish AND are available on weekdays

Step 4: Apply and Manage Your Filters

Click "Apply" to see your filtered results. Your custom object list will update to show only the records that match your criteria.

To modify your filters:

  • Drag and drop to reorder filters in the panel
  • Click the X next to any filter to remove it
  • Use the "Reset" button to clear all filters and start over

Tips for Effective Filtering

Start broad, then narrow: Begin with one or two filters, review the results, then add more filters to refine further.

Save common searches: If you use the same filter combination regularly, consider it when planning your custom views or reports.

Test your logic: If you're not seeing expected results, check whether you need "And" (all conditions must match) or "Or" (any condition can match).
