Creating and Updating Custom Object Records

Custom objects in Enrollio let you track specialized information unique to your childcare business — like classroom equipment, vehicles, pets (for pet-friendly programs), or any other data you need beyond the standard parent and child records.

This guide shows you how to create, update, and manage these custom records effectively.

Creating a New Custom Object Record

Follow these steps to add a new record to your custom object:

  1. Navigate to your custom object — In the left sidebar, click on the custom object type you want to work with (e.g., Classroom Equipment, Vehicles).
  2. Click "Add" to create a new record — You'll find the Add button in the top right corner of the screen.
  3. Fill in the primary field — Enter the main identifier for this record (like the equipment name or vehicle model). You can only add the primary field when first creating the record — additional fields come later.
  4. Save the record — Click Save to create your record. Or choose Save and Add Another if you need to create multiple records in a row.

Pro Tip: Use clear, consistent naming for your primary fields. If you're tracking classroom equipment, "Montessori Shelf Unit - Room 3" is more helpful than "Shelf 1".

Updating an Existing Custom Object Record

Need to make changes to a record? Here's how:

  1. Open the record — Find your custom object in the list and click on its name to open the details.
  2. Click Edit — The Edit button appears at the top of the record view.
  3. Update the fields — Change any information you need — text fields, numbers, dropdown selections, dates, etc.
  4. Save your changes — Click Save to apply your updates, or Cancel if you change your mind.

Managing Related Objects

You can link your custom objects to families, children, or other records to keep everything connected. For example, you might associate a vehicle with the staff members authorized to drive it, or link classroom equipment to specific rooms.

Here's how to create these associations:

  1. Open the record — Navigate to the custom object record you want to link.
  2. Find the Related Objects section — Scroll down to see what types of records you can associate.
  3. Click Add — Next to the object type you want to link (like Families or Staff).
  4. Search and associate — Find the specific record you want to connect and click Associate to create the link.

Pro Tip: Associations are powerful for reporting. If you link equipment to specific classrooms, you can quickly see what assets are assigned to each room.

Deleting a Custom Object Record

Important: Deleting a custom object record is permanent and cannot be undone. Make absolutely sure you want to remove the record before proceeding.

To delete a record:

  1. Open the record — Navigate to the record you want to remove.
  2. Click the three-dot menu — In the top right corner of the record details, click the kebab menu (three vertical dots).
  3. Select "Delete Record" — Choose this option from the dropdown.
  4. Confirm the deletion — A confirmation modal will appear. Click to confirm that you want to permanently delete this record.

⚠️ Warning: Once you delete a custom object record, it's gone forever. There's no undo, and Enrollio cannot restore deleted records. Consider archiving or marking records as inactive instead if you might need the data later.
