Bulk Actions for Enrollment Opportunities

Take control of your enrollment pipeline with bulk actions in Enrollio's visual card view. This feature lets you select and manage multiple enrollment opportunities at once, saving you valuable time when handling tours, applications, and waitlist requests.

What Are Bulk Actions?

Bulk actions let you select multiple enrollment opportunity cards in your pipeline's visual card view. Each card has a checkbox that appears when you hover over it. Once selected, you can move, edit, or update multiple opportunities in one go—without switching to a different view or clicking through each record individually.

This is especially helpful when you need to reassign tours after a staff change, update multiple applications after an open house event, or clean up your pipeline at the end of enrollment season.

Key Benefits

  • Stay in your visual view: Make bulk updates directly from the card view where you can see your entire enrollment pipeline
  • Faster updates: Change multiple enrollment opportunities at once instead of one by one
  • Select all option: When viewing 20+ opportunities, you can select everything on the current page with one click
  • Error prevention: While selecting cards, drag-and-drop is automatically disabled to prevent accidental moves
  • Works your way: Available in both card view and list view, depending on your preference

How to Use Bulk Actions

Step 1: Open Your Enrollment Opportunities

Click Opportunities in your left navigation menu. This opens your pipeline view where you'll see all your enrollment opportunities organized by stage.

Step 2: Select Your Pipeline

Use the dropdown menu at the top to choose which enrollment pipeline you want to work with. This filters your view to show only opportunities from that specific pipeline—helpful if you run separate pipelines for different programs or age groups.

Step 3: Choose Your View

Click the toggle icon in the top-right corner to switch between card view and list view. Both support bulk actions.

Card view works well when you want to see your pipeline stages visually and select opportunities based on where they are in your enrollment process.

List view is better for managing large volumes of opportunities, since you can quickly scroll, sort by columns, and select many records at once.

Step 4: Select Multiple Opportunities

Hover over any enrollment opportunity card. You'll see a checkbox appear in the top-right corner of the card. Click the checkbox to select it. Repeat for any other opportunities you want to update.

The selected cards will be highlighted so you can easily see what you've chosen.

Pro Tip: When you have 20 or more opportunities visible, a "Select All on Page" button appears. Click it to select everything currently showing without clicking each checkbox individually.

Step 5: Click Edit

Once you've selected your opportunities, an Edit button appears at the top of your screen. Click it to open the bulk edit panel.

Step 6: Choose What to Update

The bulk edit panel shows you all the fields you can update across your selected opportunities. Here are the most common updates:

Reassign to a Different Owner

Select the Owner field to assign your selected opportunities to a different staff member. This is perfect when someone goes on vacation, when you're redistributing tours across your team, or when a new enrollment coordinator joins.

Move to a Different Pipeline or Stage

Use the Pipeline and Stage fields to move opportunities to a different enrollment process or stage. This helps when families switch programs (like moving from infant to toddler enrollment) or when you need to regroup leads after an event.

Update Status

Select Status to mark opportunities as Open, Won, Lost, or Abandoned. Use this after call campaigns, tour follow-ups, or when cleaning up your pipeline at the start of a new enrollment period.

Change Other Fields

You can also update fields like enrollment value, dates, tags, or any custom fields you've added to your opportunities.

Step 7: Save Your Changes

After making your selections in the bulk edit panel, click Save. Your changes will apply to all selected opportunities immediately.

Pro Tip: Double-check your selections before saving. While some actions can be reversed (like moving cards between stages), it's easier to get it right the first time than to undo bulk changes across dozens of records.

Frequently Asked Questions

Can I select opportunities across multiple pages?

No, the "Select All on Page" option only selects opportunities visible on your current page. If you're viewing 50 opportunities per page, you'll select up to 50. To select more, you'll need to go to the next page and select those separately.

What if I accidentally select the wrong opportunities?

Click the checkbox again on any card to deselect it. Or click the "Deselect All" option to clear all your selections and start over.

Can I still drag cards around while in selection mode?

No. Once you start selecting opportunities, drag-and-drop is automatically disabled to prevent accidental moves. Click "Deselect All" to exit selection mode and re-enable drag-and-drop.

Can I open an opportunity while other cards are selected?

No. While you have cards selected, clicking on them will only select or deselect them. Exit selection mode first if you need to open and view an opportunity's details.

How do I know if there are enough opportunities to use "Select All on Page"?

The "Select All on Page" button appears automatically when you have 20 or more opportunities visible on your current page.

Can I undo a bulk action after I save?

Some actions can be reversed manually (like moving cards back to their original stage), but there's no automatic undo button. Always review your selections carefully before clicking Save.

Do permissions affect what bulk actions I can perform?

Yes. The bulk actions available to you depend on your user role and permissions in Enrollio. If you can't see certain options or edit certain fields, check with your account administrator.
