Enrollio lets you synchronize external calendars (Google, Office 365, Outlook.com) to keep your availability up to date and prevent double-bookings during tours and appointments. Use Connected Calendars to authorize Enrollio's access, Linked Calendars to import events and show your true availability, and Conflict Calendars to automatically block booking slots when you have other commitments.

When to Use Connected, Linked & Conflict Calendars

Connected Calendars: Grant Enrollio permission to read (and optionally write) events from an external calendar account.

Linked Calendars: Import events and availability into Enrollio so your true busy times display when parents book tours or appointments.

Conflict Calendars: Mark certain connected calendars as blockers, automatically making overlapping Enrollio booking slots unavailable.

Prerequisites

User Role: Admin or Manager access in your Enrollio account.

External Calendar Account: Active Google Calendar, Office 365, or Outlook.com login credentials for each staff member.

Setting Up the Linked Calendar

Step 1: Access the Connections Tab

In your Enrollio sidebar, go to Settings → Calendars, then click the Connections tab at the top.

Step 2: Add a Calendar

Under Connected Calendars, click + Add New.

  1. Select your provider: Google, Outlook, iCloud, or Calendly.
  2. Sign in and grant Enrollio permission to read events (and write, if you plan to sync bookings back).
  3. Once successful, you'll see your email listed with its provider icon.

Alert: Reconnect Broken Integrations
If you see a red banner like "Reconnect your integration" or the calendar tile is outlined in red, your connection may have expired or been revoked. Click Reconnect and re-authorize Enrollio to restore access.

If the third-party calendar was deleted at the provider, the banner displays a Fix This option. Click it to review all deleted calendar instances and use Remove Deleted Calendars to clean up broken connections.

Step 3: Configure Your Linked Calendar

In the Calendar Configuration section under Linked Calendar, click Add.

  1. Choose one of your Connected Calendars to import events into Enrollio.
  2. Click Save.

Important:
  • Write access is required for you to select a calendar as a linked calendar.
  • The linked calendar is by default added to the conflict calendar. This means any event created on the third-party linked calendar will be fetched into Enrollio, and any event created in Enrollio will be pushed to the third-party linked calendar.
  • You can customize your sync preferences from the Advanced Settings.

Sync Preferences (Advanced Settings)

1. Default Sync (One-Way Sync)

  • Events created in Enrollio will be synced to your Linked Calendar (e.g., Google).
  • Events created on your Linked Calendar will be synced to Enrollio as blocked slots.
  • No parent/family record is created for guests in the Linked Calendar events.
  • No automations are triggered.

2. Two-Way Sync

  • Events created in Enrollio will be synced to your Linked Calendar.
  • Events created on your Linked Calendar will be synced to Enrollio as appointments.
  • Parent/family records are created for guests found in the Linked Calendar events.
  • Automations can be triggered like any other appointment created in Enrollio.

Example: Sarah creates a Google event from 1:00 PM to 2:00 PM called "Doctor's Appointment with Dr. Martinez" and adds Dr. Martinez as a guest.

Default Sync (One-Way): Only a blocked time from 1:00 PM to 2:00 PM is added in Enrollio so parents can't book tours during that time.

Two-Way Sync: An appointment is created in Enrollio from 1:00 PM to 2:00 PM, blocking that time. A new parent/family record for Dr. Martinez is created in Enrollio. If any automations are set up, they would be triggered for Dr. Martinez.

Conflict Calendars

Events from third-party calendars added as conflict calendars are synced to Enrollio, blocking your availability for the event's duration. This prevents parents from booking tours or appointments when you're unavailable.

Enrollio reads all events from the selected calendar and blocks off times when you're not available. The availability is blocked only if the event is marked as BUSY in the third-party calendar. For events marked as FREE, the events are fetched but availability remains open.

You can add multiple calendars to be checked to prevent double bookings. In the Conflict Calendars section, Enrollio doesn't create any appointments — it just blocks off the time for any event already scheduled in your third-party calendar.

How These Calendars Work

Booking Requests

When a parent requests a tour or appointment, Enrollio checks both your Linked and Conflict calendars. Any overlapping events make those time slots unavailable.

Two-Way Sync

If you enable Write Back Appointments, Enrollio will write new bookings into your external calendar. Cancellations or reschedules in Enrollio also update your external calendar.

Calendar View

In your Calendar tab, external events display as shaded blocks, Enrollio bookings as colored events, and blocked slots are marked as unavailable.

Best Practices

Limit Write-Back: Enable write-back on only your primary work calendar to avoid duplicate entries across multiple calendars.

Block Personal Events: Link personal calendars as Conflict Calendars so family or personal commitments automatically block tour booking slots.

Align Time Zones: Make sure your external calendar's time zone matches your Enrollio profile to prevent scheduling mismatches.

Periodic Reauthorization: If you change your external account password or security settings, reauthorize Enrollio to prevent broken connections.

Common Troubleshooting

Issue Cause Resolution
Integration shows as broken (red banner) Connection expired or revoked Under Settings → Calendars → Connections, click Reconnect and re-authorize.
Events not appearing in Enrollio No Linked Calendar selected or sync disabled In Calendar Configuration → Linked Calendar, click Edit and ensure Sync Events is on.
