Best Practices for Text Message Deliverability and Avoiding Restrictions

Staying connected with families through text messaging is essential for your childcare business. This guide helps you maintain excellent deliverability and avoid carrier restrictions so your messages reach parents reliably.

Understanding Error and Opt-Out Monitoring

Enrollio monitors your text message delivery to protect your account from carrier blocks. We track two key metrics: error rates and opt-out rates.

When your account hits concerning thresholds, we take action to keep you compliant:

  • Warning Email (6% error rate or 2% opt-out rate) — You'll receive a notification to review your messaging practices
  • Temporary Restriction (10% error rate or 3% opt-out rate) — Outbound text messages will be paused until 00:00 AM UTC the next day

What to Do When You Receive a Warning Email

Take immediate action to protect your account:

  1. Pause all automations, campaigns, and bulk messages to families who haven't explicitly opted in
  2. Enable and customize your opt-out language in Settings so families know how to unsubscribe
  3. Review your contact list — stop sending to families who haven't given clear permission
  4. Avoid mass text blasts or cold outreach campaigns until your rates improve

Understanding Error and Opt-Out Rates

Opt-Out Rate

A high opt-out rate means families are marking your messages as spam or objecting to your texts. This signals you're messaging people who don't want to hear from you.

Healthy range: 0-1%
Warning threshold: 2%
Suspension threshold: 3%

Error Rate

A high error rate means you're texting disconnected numbers, landlines, or unreachable devices. It can also indicate carriers are blocking your messages due to past sending behavior.

Healthy range: 0-6%
Warning threshold: 6%
Suspension threshold: 10%

Removing Account Restrictions

Temporary restrictions lift automatically after 24 hours (at 00:01 AM UTC). You can resume sending messages then.

If your account is permanently suspended, contact Enrollio support immediately to review your case.

8 Best Practices to Prevent Future Restrictions

1. Always Include Opt-Out Language

Every first message to a new family should include clear unsubscribe instructions. This is required by law and improves trust.

Example: "Reply STOP to unsubscribe" or "Text CANCEL to opt out"

Pro Tip: Configure your default opt-out language in Settings so it's automatically added to all messages.

2. Introduce Yourself in First Messages

Parents should immediately know who's texting them. Include your childcare center name in your first message.

Example: "Hi! This is Sarah from Sunshine Childcare. Thanks for scheduling a tour with us!"

3. Don't Text Landlines

Enable Number Intelligence in your account settings. This feature checks if a number can receive texts before sending and temporarily skips landlines.

4. Avoid Public URL Shorteners

Never use bit.ly, tinyurl.com, or similar public shorteners in your text messages. Carriers like T-Mobile and AT&T automatically flag or block these as spam.

Best practices:

  • Use Enrollio's built-in link tracking (automatically applies your domain)
  • Include full URLs when possible for transparency
  • Limit redirects to one hop maximum
  • Never cycle between multiple short URLs
Pro Tip: AT&T blocks public shorteners entirely. Using them can prevent your messages from reaching families on their network.

5. Complete Your A2P Registration (US Accounts)

If you're in the United States, carriers require A2P (Application-to-Person) registration. This verifies your business and dramatically improves deliverability.

To register:

  1. Go to Settings → Trust Center
  2. Complete your Business Profile
  3. Register your A2P Brand
  4. Submit your Campaign registration

Note: Campaign verification can take up to one week. If it's not approved after 7 days, contact Enrollio support to escalate with The Campaign Registry (TCR).

6. Use Consent Checkboxes on Web Forms

If families provide their phone number on a website form, tour request, or enrollment page, include a clear consent checkbox.

When phone number is required:

  • Separate consent checkboxes for marketing vs. transactional messages
  • Checkboxes cannot be pre-selected
  • Include your Privacy Policy and Terms in the footer

When phone number is optional:

  • Consent checkbox is not required
  • Still include Privacy Policy and Terms in footer

7. Reference How Families Opted In (Recommended)

In your first message, remind families where they signed up. This builds trust and reduces opt-outs.

Example: "Hi! You requested a tour at Sunshine Childcare through our website. I'm Sarah, and I'd love to show you around. When works best for you?"

8. Consider Double Opt-In (Recommended)

After a family submits a web form, send a confirmation text asking them to reply to subscribe.

Example: "Thanks for your interest in Sunshine Childcare! Reply 1 to confirm you'd like to receive tour reminders and updates via text."

This creates a documented consent trail and ensures you're only messaging engaged families.
