When you set up Voice AI in Enrollio, you control exactly when your AI assistant answers incoming calls. You can have it pick up immediately, or only when you're unavailable.

This guide covers both scenarios so you can choose what works best for your childcare center.

Finding Your Call Settings

Step 1: Open Phone Numbers

  1. Click Settings in your account
  2. Click the Phone Numbers tab
  3. You'll see all available numbers for your account listed under Manage Numbers

Voice AI Answers Every Call (No Call Forwarding)

If you want your Voice AI to handle all incoming calls — perfect for busy centers that can't always get to the phone — here's what to do:

Important: Do NOT use your default account phone number for your Voice AI. If you do, the AI won't pick up calls when forwarding is disabled.

Setup Steps:

  1. Assign a dedicated phone number to your Voice AI (not your default account number)
  2. Do NOT enable call forwarding on that number

With this setup, your Voice AI acts like a full-time front desk employee — answering calls from prospective families, collecting enrollment information, and scheduling tours while you focus on the children.

Voice AI as Backup (With Call Forwarding)

If you forward calls to your office or cell phone but want Voice AI to catch missed calls, use one of these approaches:

Option 1: Use Your Default Account Number

Assign your default account phone number to your Voice AI. When you don't answer, the AI picks up automatically.

Option 2: Enable Call Forwarding

Turn on call forwarding for the phone number assigned to your Voice AI.

Critical Setting: Reduce your "Inbound Call Timeout" period so callers never reach your local voicemail. If a call hits your local voicemail, Enrollio marks it as completed and the Voice AI won't answer. Set the timeout short enough that Voice AI catches the call first.

Pro Tips

  • Test both scenarios with a personal phone to see which feels right for your center
  • Keep timeout under 20 seconds when using call forwarding to ensure Voice AI has time to answer
  • Train staff on the system so everyone knows when Voice AI is answering vs. when they should pick up
