The bot solves complex problems and provides safer, more accurate answers than typical AI chatbots. Pro Tip: You can review which prior messages the bot considered by opening Response Info and checking the available history and context details (when enabled).

Enrollio AI Modes and Settings

Enrollio AI has three modes for your account:

OFF: This is the default mode where Enrollio AI is inactive. Bot training and bot trial remain active so you can train and test the bot before launching it.

Suggestive: The bot responses appear inside the message composer box for you to send as-is or edit before sending. This gives you full control while speeding up your replies.

Auto-Pilot: The bot automatically responds to families on behalf of your center. Perfect for after-hours inquiries and routine questions.

Guided Form: The bot conducts structured conversations to collect specific information from families. It automatically varies question phrasing to avoid repetition, adjusts tone based on responses, and gently refocuses off-topic replies to keep the conversation productive.

If you've renamed standard objects in your CRM (for example, Parents → Families), Enrollio AI displays those custom names throughout the bot interface for clarity and consistency.

Note for Form-Based bots: If you configure an Initial Message, the bot sends it as a welcome message and starts the Guided Form flow when the family replies. If no Initial Message is configured, the flow starts immediately with the first message.

Supported Conversation Channels

Enrollio AI currently supports the following channels:

  • Text messaging
  • Facebook Messenger
  • Instagram Direct Messages
  • Web Chat
  • Live Chat

Select which channels you want the bot to communicate through by going to Settings → Enrollio AI and adding channels via the "Supported Channels" dropdown.

Training the Bot

Train your bot in the "Bot Training" section of the Enrollio AI settings page. There are two ways to add information:

1. Through web URLs and public links: Add your center's website, FAQ pages, or policy documents. The bot will learn from this content to answer family questions.

2. Adding Question and Answer pairs: Manually enter common questions families ask and the answers you want the bot to provide. This gives you precise control over specific responses.

Note: Bot training is free.

Configuring Bot's Intent

Enrollio AI currently supports two intents:

General Support or Q/A: Provides information to families' questions based on your training information. Use this for answering questions about your programs, hours, tuition, policies, and more.

Tour Booking: Asks customizable questions and then books a tour on your calendar. Perfect for converting interested families into scheduled visits.

Note: If a tour for a family is already booked (in Active or Confirmed state), the intent automatically switches to General Support for that family until the tour is completed or cancelled.

Testing the Bot (Bot Trial)

Test Enrollio AI for free in the "Bot Trial" tab of your Enrollio AI settings page.

Select the intent you want to test from the dropdown, and the bot will respond exactly as it would to a real family. This lets you refine responses before going live.

Provide feedback using the "Thumbs Up" and "Thumbs Down" buttons under each bot response. This helps you fine-tune answers and add new Q&As to your training.

Automation Integration

Use your bot training within automations by adding the Enrollio AI Action. This lets you:

  • Customize your entire prompt for specific situations
  • Move families through your automation based on their responses
  • Ask specific questions and create branches based on replies
  • Trigger different follow-ups based on family needs

This integration makes your automations more intelligent and responsive to each family's unique situation.

Frequently Asked Questions

Can I control how many messages the bot sends before it stops or hands off to a staff member?

Yes. In the Advanced Settings section, you can define the maximum message count before the bot stops responding or transfers the conversation to a human staff member.

Can I turn on the AI for just one channel while turning it off for others?

Yes. Enrollio supports channel-specific bot control. You can enable or disable the bot for each communication channel independently from the Supported Channels settings.

How do I add the AI chatbot to my enrollment site?

Once you've set up your Enrollio AI Bot and added "Web Chat" as a supported channel, the AI functionality automatically works when you install the chat widget on your Enrollio landing page or enrollment site.

Can I change the "Parents" or "Enrollment Opportunities" labels the bot shows?

Yes. Rename your standard objects in Settings → Objects at the account level. Enrollio AI will reflect those custom names throughout the interface.

Does the Initial Message start the flow right away in Form-Based bots?

Only if you don't set an Initial Message. When you configure an Initial Message, the bot sends it first and begins the form flow after the family's next reply.
