Overview

Recurring tasks let you automate repeating work in your childcare center. Instead of manually creating the same task every week or month, set it up once and let Enrollio handle the rest.

Perfect for regular activities like facility checks, curriculum planning reviews, staff training reminders, or parent communication follow-ups.

How Recurring Tasks Work

Frequency Options

Choose how often your task repeats:

  • Hourly — for time-sensitive checks throughout the day
  • Daily — like daily attendance reviews or safety walkthroughs
  • Weekly — such as weekly parent updates or staff meetings
  • Monthly — like monthly enrollment reports or facility inspections
  • Yearly — for annual license renewals or policy reviews

When Tasks End

You have three options for when recurring tasks should stop:

  • Never — the task continues indefinitely until you manually stop it
  • Custom Date — set a specific end date (useful for seasonal programs)
  • After Set Occurrences — specify exactly how many times the task should repeat

Handling Overdue Tasks

Enable Create Even if Previous Task is Overdue to keep your schedule on track. When turned on, Enrollio creates the next task at the scheduled time even if the previous one isn't complete yet.

This prevents tasks from piling up if someone misses a deadline — each occurrence stays independent.

Creating a Recurring Task

Step 1: Open the Task Modal

You can create tasks from three places:

  • The main Tasks page
  • A specific parent or family's profile page
  • An enrollment opportunity page

Click Add Task or the + button to open the task creation window.

Step 2: Enter Task Details

Fill in the basics:

  • Task Name — be specific (e.g., "Send Weekly Newsletter to Current Families")
  • Description — add any notes or instructions
  • Due Date — when should the first task be completed?

Step 3: Set Up Recurrence

Toggle on Recurring Task. You'll see new options appear.

In the Repeats Every field, specify your interval:

  • "Every 1 day" for daily tasks
  • "Every 2 weeks" for biweekly tasks
  • "Every 1 month" for monthly tasks

Choose when the recurrence should end using Ends On:

  • Select Never if this is an ongoing task
  • Pick Custom Date and choose your end date
  • Choose After and enter the number of occurrences

Optionally, check Create a new task even if the previous one is overdue to maintain your schedule regardless of completion status.

Pro Tip: The next task is created at the scheduled time based on the original creation date, not when you complete the previous task. So if you have a weekly task starting Monday at 9am, each new task will be created every Monday at 9am — even if you didn't finish last week's.

Step 4: Assign the Task

Select who should complete the task:

  • Choose an Assignee from your staff
  • If relevant, link it to a specific parent or family

Step 5: Save

Click Save to create your recurring task. Enrollio will now generate new instances automatically based on your schedule.

Managing Recurring Tasks

Converting an Existing Task

Already have a task that should repeat? Open it, click Edit, and toggle on the recurring option. The task will start repeating from that point forward.

Editing Recurring Tasks

When you edit a recurring task, Enrollio asks if you want to:

  • Update all future occurrences — changes apply to every upcoming instance
  • Update only this instance — modify just this one task without affecting the series

This flexibility lets you adjust the entire series (like changing the assignee for all future tasks) or make one-time exceptions (like pushing back just next week's task due to a holiday).

Deleting Recurring Tasks

You have two deletion options:

  • Delete all upcoming tasks — removes the entire recurring series
  • Delete this occurrence only — removes just one instance

Choose carefully — deleting the series stops all future tasks from being created.

Restoring Deleted Tasks

Accidentally deleted a task? You can restore it from your deleted tasks list.

Important: If you restore a recurring task, only the task you restore comes back. Any occurrences that were scheduled during the time it was deleted won't be recreated — the recurrence schedule picks up from the restoration point forward.
