How to Create and Schedule Custom Reports

Custom Reports let you build tailored reports to share enrollment data and insights with your team or families. Whether you start from scratch or convert an existing dashboard, you control your report's design, content, and delivery schedule.

Important: Timezone Considerations

Keep these timezone details in mind when building reports:

  • Report Builder Date Range: Data shown in the builder uses your browser's timezone.
  • Email Preview: Scheduled email previews use your account's timezone.
  • Google and Facebook Ads Data: Third-party integrations use the timezone configured in those ad accounts, not your Enrollio account timezone.

Step 1: Access Custom Reports

Navigate to the Reporting section and click Custom Reports. Select New Report to start building.

Step 2: Choose Your Starting Point

You can create a report from scratch or convert an existing dashboard into a report.

Step 3: Using the Report Builder

If starting from scratch, the Report Builder opens. At the top, rename your report to reflect its purpose—like "Monthly Enrollment Report" or "Tour Conversion Summary."

Step 4: Customize the Cover Page

The first page is your cover page. Customize or remove it through the Page Properties menu on the right.

Page Properties Options:

  • Upload your center's logo
  • Configure headers for each page
  • Adjust background colors

Step 5: Adding Widgets, Sections, and Themes

Once your cover page is set, click the + icon on the left to add widgets.

From the widget sidebar, select the widgets you want—enrollment trends, tour statistics, waitlist numbers, or any other metrics that matter to your center.

Use the Elements Menu to add titles and organize your report into sections for easy readability.

Switch to the Themes section to choose a predefined theme or create your own custom theme.

Pro Tip: Organize related metrics into sections—like "Tour Performance" and "Enrollment Trends"—to make your report easier to scan.

Step 6: Managing Pages

To add a new page, click the + icon at the top or bottom of an existing page.

Click the Page Icon to see all pages. Drag and drop pages to reorder them and rename them for better organization.

When you're done building, download a PDF version by clicking the Download button at the top.

Step 8: Save, Send, or Schedule Your Report

After creating your report, click Save and then choose Send or Schedule.

Step 9: Configure Your Report Schedule and Delivery

Set up how and when your report gets delivered:

  • Frequency: Choose how often to send the report (daily, weekly, monthly)
  • Time: Select the exact delivery time
  • Date Range: Choose which data period to include
  • Widget-Level Date Settings: Toggle this on to keep custom date ranges and comparisons for individual widgets
  • Comparison Trends: Enable "Compare With" to add trend data and period comparisons
  • Sender Email: Customize the email address the report comes from
  • Subject: Add a subject line for the report email
  • Recipients: Enter recipient email addresses
  • Email Body (Optional): Add a custom message if needed

Pro Tip: Send weekly enrollment reports to your team every Monday morning to start the week aligned on key metrics.

Step 10: Send a Test Email

Before finalizing, send a test email to check how your report appears to recipients.

Step 11: Save and Schedule

Once everything looks good, click Save and Schedule. Your report will automatically send based on your configured schedule.

Important Note About PDF Exports

Images and embedded content appear in the email preview sent to recipients, but they're not included in PDF exports due to security restrictions.
