Training Your AI Bot with Web URLs

This article shows you how to train your Enrollio AI bot using content from your website or other web pages. This helps your bot answer parent questions accurately using your center's policies, programs, and information.

Pro Tip: The more relevant and up-to-date your training content, the better your bot performs. Train it on your enrollment policies, tuition info, program details, and FAQs for best results.

Steps to Train Your Bot Using Web URLs

  1. Go to Bot Training in your Enrollio dashboard
  2. Enter the complete URL (including https://) of the page you want to use
  3. Choose one of the three crawling modes (explained below)
  4. Wait for the URLs to be fetched and crawled
  5. Select which URLs you want to train on and click Train Bot
  6. Each URL will be processed and added to the table below with its status

Important: Wait for all URLs to finish training before using your bot with parents.

URL Limit: You can train your bot on up to 4,000 web URLs in a single knowledge base.

URL Crawling Modes

Exact URL (Recommended)

This is the best option for precise training. Your bot will crawl only the specific page you provide.

When to use: Train on specific pages like your tuition rates, enrollment policies, or program descriptions.

  1. Select Exact URL
  2. Enter the URL you want to crawl
  3. Click Get Data
  4. The URL is crawled and your bot is trained on it

All URLs in this Domain

Train your bot on multiple pages from your website at once. The bot will find all pages on your domain and let you choose which ones to include.

When to use: You want to train on your entire enrollment site or multiple pages about your programs.

  1. Select All URLs in this domain
  2. Enter your domain URL (e.g., https://yourchildcarecenter.com)
  3. Click Get Data
  4. Wait for the page list to load
  5. Select the relevant pages for training
  6. Click Train Bot

When selecting pages, you'll see two lists:

  • New Pages — URLs not yet part of your bot's training. Selecting these adds them to your knowledge base.
  • Existing Pages — URLs already in your bot's training. Selecting these refreshes them with the latest content from your site.

All URLs with this Path

The bot crawls all pages that match a specific URL path. This is useful for training on a section of your site, like all your program pages.

When to use: You want to train on a specific section, like https://yoursite.com/programs/ and all pages under it.

The steps are the same as "All URLs in this Domain" above, but filtered to only show pages matching your specified path.

Managing Your Uploaded Links

All URLs your bot has been trained on appear in the Uploaded Links table. From here, you can:

  • Refresh a URL to retrain the bot on updated content (use this when you change your policies or tuition rates)
  • Delete a URL to remove that information from your bot's knowledge

Understanding URL Status

Each URL will show one of these statuses:

  • Getting Data — The bot is currently training or retraining on this URL
  • Trained — The bot successfully learned from this URL. You'll see when it was last refreshed.
  • Failed — The bot couldn't train on this URL. Try refreshing it or delete and re-add it.
Important: URLs aren't instantly added to the table. Wait until all URLs appear and show "Trained" status before your bot starts responding to parents.

Best Practices for Bot Training

  • Keep it relevant: Only train on pages that answer parent questions about enrollment, programs, and policies
  • Stay current: Refresh URLs regularly when you update tuition, change policies, or modify programs
  • Remove outdated content: Delete old URLs to prevent your bot from sharing incorrect information
  • Review regularly: Check your Uploaded Links table quarterly to ensure all content is still accurate
Pro Tip: Start with your most important pages: enrollment requirements, tuition and fees, program descriptions, and your center's policies. You can always add more later.
