Send Documents to Multiple Recipients

You can now send a single document or contract to multiple recipients — each with their own signature fields. This is perfect when you need both parents to sign enrollment paperwork, or when multiple staff members need to review and approve a document.

Key Features

Multiple Signers & CC Recipients

Add as many recipients as you need to any document or contract. Recipients who have signature fields assigned to them are Signers. Anyone added without a signature field becomes a CC recipient — they'll receive a copy but won't sign.

You can even include yourself or another staff member as a Signer.

Unique Signing Links

Each Signer gets their own unique link that takes them directly to their portion of the document. They only see and sign the fields assigned to them — nothing more.

Combined PDF & Signature Certificate

Once everyone has signed, Enrollio generates a final PDF with all signatures included. You'll also get a signature certificate that logs:

  • Each signer's IP address
  • Geographic location (when available)
  • Exact date and time they viewed and signed

Primary Recipient Logic

The first recipient you add becomes the Primary Recipient. This matters because:

  • Custom fields in the document (like family name, address) pull from the Primary Recipient's record
  • If automatic invoice creation is enabled, the invoice is generated for the Primary Recipient after everyone signs

How to Set Up Multiple Recipients

Creating or Editing a Document

  1. Go to Documents & Contracts
  2. Click Create New Document or edit an existing template
  3. In the Recipients section, add multiple families or staff members
  4. For each recipient, drag and drop their signature fields onto the document

Designating Signers vs. CC Recipients

To make someone a Signer: Assign at least one signature field to them.

To make someone a CC recipient: Simply add them without assigning any signature fields. They'll receive the finalized document but won't need to sign.

Best Practices

Order Matters for Primary Recipient

If a specific parent should receive the invoice or populate custom fields, add them first when selecting recipients.

Clear Communication

Let CC recipients know beforehand that they're receiving a view-only copy. Make sure Signers understand they need to take action.

💡 Pro Tip: Use CC recipients for team members who need visibility into enrollment paperwork without needing to sign — like your assistant director or office manager.

Review Signature Fields Before Sending

Double-check that each Signer has the correct signature and date fields assigned. Missing fields will prevent the document from being completed.

Verify Signature Certificates

For important contracts, download the signature certificate after completion to confirm all IPs, locations, and timestamps. This is especially useful if recipients sign from different locations or devices.

What If Someone Doesn't Sign?

If one Signer doesn't complete their portion, the document stays in "Pending" status. You can:

  • Send reminder emails through Enrollio
  • Cancel and reassign fields if needed
  • Follow up directly with the family

Common Use Cases for Childcare

  • Enrollment contracts: Both parents sign the same agreement
  • Permission slips: Parent signs, director receives CC copy
  • Staff onboarding: New hire and director both sign employment paperwork
  • Tuition agreements: Multiple family members sign financial responsibility forms
