Linking Tasks to Multiple Records

Manage follow-ups exactly where they matter. Link a single task to parents, enrollment opportunities, companies, and custom records—so your entire team stays in sync without duplicating work.

What This Feature Does

Tasks in Enrollio can now connect to multiple records at once. Instead of creating separate tasks for each family or enrollment, you create one task and link it to up to ten records of each type.

This means your admissions team, directors, and classroom staff can all see the same to-do item—whether they're viewing a family profile, an enrollment opportunity, or a company record.

Why This Matters for Your Center

  • Everyone sees the full picture – The same task appears in every linked record, so nothing falls through the cracks during tours, transitions, or re-enrollments.
  • No more duplicate tasks – One task replaces multiple copies that used to clutter your lists.
  • Cross-team coordination – Admissions can create a task that operations and billing both see, without extra handoffs.
  • Flexible connections – Link up to 10 families, 10 enrollment opportunities, 10 companies, and 10 custom records to a single task.
  • Smart filtering – Quickly find tasks by assignee, status, or linked family and enrollment.

How Records Are Linked Automatically

Enrollio applies smart defaults based on where you create the task:

  • From the Tasks page → Starts blank; you choose which records to link.
  • From a parent/family profile → Automatically links that family plus their primary company (if you track corporate accounts).
  • From an enrollment opportunity → Links the enrollment, its primary family, and that family's company.
  • From a company → Links just that company.

You can always edit, add, or remove connections using the Associate To dropdown when creating or updating a task.

Viewing Linked Records

Every parent profile, enrollment opportunity, company, and custom record now includes an Associated Objects section.

Hover over the chain-link icon next to any task to instantly preview all linked records. Click any record name to open it in a new tab.

Filtering Tasks by Connection

Use the filter icon on your Tasks page or inside any record's task panel to:

  • Show only tasks linked to a specific family or enrollment opportunity
  • Combine filters with status (Open, Completed, Overdue) and assignee
  • Create focused views for tour follow-ups, enrollment paperwork, or billing tasks

How to Link a Task to Multiple Records

  1. Open any parent profile, enrollment opportunity, company, custom record—or go to the main Tasks page.
  2. Click + Add Task.
  3. Review the default connections in the Associate To field. These are pre-filled based on where you're creating the task.
  4. (Optional) Click + Add Association to link additional records—up to 10 per record type.
  5. Fill in the task details: title, assignee, due date, description.
  6. Click Save.

To edit connections later: Open the task, click the pencil icon next to Associated Objects, adjust your selections, and click Save.

Pro Tip: Creating a task for a family's enrollment paperwork? Link it to both the family record and their enrollment opportunity. That way, your admissions team and your billing team both see the reminder in the records they use most.

Common Questions

Do my existing tasks change?

No. Tasks created before this feature remain linked to their original records only. You can edit them anytime to add more connections.

Can I link more than 10 records of one type?

The limit is 10 per record type to keep your data manageable. For larger projects—like open house follow-ups—consider creating separate tasks for different groups of families.

Can I automate which records get linked?

Not yet. You choose connections manually when creating or editing tasks. Automation support is on our roadmap.

Do recurring tasks keep the same connections?

Yes. When a recurring task creates a new instance, it inherits all the same record links from the original.

Who can see tasks I create?

A team member can see a task if they have access to any one of the linked records. So if you link a task to a family and an enrollment, anyone with access to either record will see the task.
