Email Signatures

Email signatures help you maintain a professional appearance in all your communications with families. You can set up signatures for each staff member and automatically include them in your email campaigns.

Setting Up a Staff Member's Email Signature

Follow these steps to create or update an email signature for any team member:

  1. Click Settings
  2. Click My Staff
  3. Click Edit for the staff member whose signature you want to update
  4. Expand the User Info section
  5. Scroll to the Email signature section
  6. Enter the signature text and formatting. You can also insert custom code here if needed
  7. Click Save

Pro Tip: Staff members can also update their own signatures by logging in and going to the Profile tab.

Adding Signatures to Email Campaigns

Once you've created signatures, you can automatically include them in your email campaigns. Here's how:

  1. Click Marketing
  2. Click Campaigns
  3. Click the name of a campaign to open it (or create a new campaign)
  4. Click Campaign Configurations
  5. Use the dropdown in the Users field to assign staff member(s) to the campaign
  6. Click Save
  7. Click Edit on an email event within the campaign (or add a new email event)
  8. Within the email template, click Custom Values → User → Signature
  9. Make sure the signature code appears at the bottom of the email template (where you'd expect to see an email signature)
  10. Click Save
  11. Make sure the campaign is Published if you want to add families to it (check the top right dropdown within the campaign)

Done! Now all families added to this campaign will be assigned to the staff member(s) you selected and will receive emails with the appropriate signature.

Troubleshooting: Blank Signatures in Manual Emails

Why is the signature blank when I send a manual email from the conversation tab?

Email signatures only appear when you're logged in as the staff member who owns that signature. If you're logged in as an admin trying to send an email on behalf of another team member, the signature won't appear.

The workaround: Send the email through an automation or campaign instead of manually. This ensures the correct signature is applied based on the assigned staff member.
