This guide shows you how to set up and manage voicemail in Enrollio. You'll learn how to record custom greetings, configure voicemail for your center and individual staff members, and ensure parents always get a professional response when they call.
Recording Your Voicemail Greeting
Before uploading a voicemail, you need to record one. Search Google for "record mp3 online" and pick any free recording website. Keep your greeting short, professional, and childcare-friendly.
Pro tip: Mention your center name and typical response time. For example: "Thanks for calling Happy Hearts Childcare. We're with the children right now, but leave your name and number and we'll call you back within one hour."

Enrollio lets you set voicemail in two places: for individual staff members and for your entire center.
Staff Member Voicemail
This plays when a parent calls a number assigned to a specific staff member who doesn't answer.
- Go to Settings → My Staff
- Click Edit User next to the staff member's name
- Expand Call & Voicemail Settings
- Upload your MP3 or WAV file
This voicemail plays when either the parent is assigned to that staff member OR the phone number itself is assigned to that staff member.
Center-Wide Voicemail
This is your default voicemail when a parent calls a number that's not assigned to any specific staff member.
- Go to Settings → Business Profile
- Scroll down to Call & Voicemail Settings
- Upload your MP3 or WAV file
How Voicemail Works
When a parent calls your Enrollio phone number, it rings the forwarding number for a set timeout period (usually 10 seconds). If no one answers, the parent hears your custom voicemail recording.
Important: Make sure Call Recording is enabled so you can review messages later.
Listening to Voicemail Messages
Access voicemail messages in two ways:
- Go to Reporting → Call Reporting, scroll right, and click the arrow to expand each call
- Click the parent's name to listen to recordings directly in their conversation page
Setting Call Timeout
To ensure your custom voicemail plays instead of your phone carrier's default voicemail, set a timeout number. Without this, calls ring for 60 seconds and often trigger your phone's original voicemail first.
You can set timeout in three places:
Option 1: Staff Member Settings
Settings → Team Management → Edit User → Call & Voicemail Settings
Option 2: Phone Number Settings
Settings → Phone Numbers → Click pencil icon for specific number
Option 3: Company Settings
Settings → Company Tab

When a call comes in, Enrollio checks for timeout settings in this order:
- First: User settings (if the number is assigned to a staff member)
- Second: Phone number settings
- Third: Company settings
Important notes:
- If Enrollio finds a timeout but no voicemail file, it plays a default message: "We are unable to take your call right now. Please leave a message after the beep."
- Timeout settings and voicemail files don't need to be in the same place. Enrollio uses whatever it finds first.
Troubleshooting Voicemail Issues
If your center voicemail isn't working, try these solutions:
1. Check Number and User Assignment
Verify the phone number is assigned to a staff member and that they've uploaded a voicemail file.
2. Verify Forwarding Number Setup
You need a forwarding number configured for voicemail to work. Two options:
- Get a Google Voice number and use it as your forwarding number. Set the incoming call timeout to 1 second so it drops quickly (2-3 rings). The call timeout must be at least 1 second to attempt connection. The goal is to timeout before the forwarding number's voicemail plays.
- Assign the number to a staff member and have them receive calls through the Enrollio mobile app.
3. Adjust Call Timeout
Try setting the timeout to 1 second first. Keep it under 20 seconds — longer timeouts often trigger the forwarding number's original voicemail before your custom one can play.
If 1 second works, gradually increase it (to 10 seconds, then 15) to find the sweet spot where calls ring long enough but still play your voicemail.

Call your forwarding number directly. Does it go straight to voicemail? If your phone is in Do Not Disturb mode or configured to go directly to voicemail, Enrollio can't replace it.
For Google Voice numbers, disable the "announce" feature — it can trigger immediately and prevent your custom voicemail from playing.
5. Check Voicemail File Quality
If your voicemail file is high quality or not an MP3, it may not work properly. Convert it:
- Go to https://online-audio-converter.com/
- Upload your voicemail file
- Convert to Economy 64kbps MP3
- Download and upload the converted file to Enrollio
- Test by calling your Enrollio number
Best Practices
- Keep greetings short — busy parents appreciate brevity
- Set realistic callback expectations — "within 2 hours during business hours"
- Test regularly — call your own numbers to verify voicemail works
- Review messages daily — prospective families expect quick responses
- Use different greetings — your enrollment coordinator's voicemail can differ from your director's
Pro tip: Record separate after-hours and business-hours greetings. Mention your hours and when parents can expect a callback.
