Creating Voice AI Agents

Setting up a Voice AI Agent in Enrollio helps your childcare center handle incoming phone calls automatically. Your staff can focus on giving tours, following up with interested families, and welcoming new enrollments while your AI Agent answers common questions and collects parent information.

Configure Voice AI Agent Details

Setting up your Voice AI Agent involves three main steps: configuring the agent's personality and voice, assigning post-call actions, and connecting it to your phone number.

Agent Details Tab

Start by setting up the basics:

  • Agent Name: Give your agent a name (e.g., "Enrollment Assistant" or "Tour Scheduler")
  • Business Name: Confirm your childcare center's name
  • Voice: Choose from available voices. Click the play button to preview each one
  • Agent Direction: Set to "Inbound" by default
  • Initial Greeting Message: Customize what your agent says when answering (e.g., "Thank you for calling [Your Center Name]. How can I help you today?")

Pro Tip: Make your greeting warm and welcoming. Parents calling about childcare want to feel confident they've reached a caring center.

Agent Goals Tab

Choose how your agent will handle calls. You have two options:

Basic Mode

Basic mode simplifies setup with no technical prompts required. Select what information you want your agent to collect:

  • Parent's name
  • Email address
  • The family's question or need

This mode is perfect if you want your agent to gather basic information and let your staff follow up personally.

Advanced Mode

Advanced mode gives you more control over how your agent behaves and what actions it takes during calls:

  • Prompt: Write detailed instructions and personality traits. For example, "You're a friendly assistant at a childcare center. Help parents learn about our programs, schedule tours, and answer common questions about enrollment, hours, and pricing."
  • Call Transfer: Transfer the call to your front desk or director when needed
  • Trigger an Automation: Start follow-up automations based on the call (e.g., send tour confirmation email)
  • Update Family Fields: Specify how collected information updates family records in Enrollio
  • Send SMS: Configure the agent to text the parent during or after the call

Pro Tip: In your prompt, tell your agent about your center's unique features — like your outdoor playground, STEM programs, or flexible hours. This helps it answer questions naturally.

Trigger Automations

Set your Voice AI Agent to trigger one or multiple automations after each call ends. This keeps your follow-up organized and ensures every family gets the right information.

For example, trigger an automation that:

  • Sends a welcome email with your enrollment packet
  • Adds the family to your tour waitlist
  • Notifies your director about high-priority inquiries

Translation note: If you have multi-language support enabled, post-call outputs can include translated summaries and transcripts. Automations can use these translated fields.

Email Notifications

Send automatic emails to your staff after each call. You can notify your director, front desk, or multiple team members at once.

Each notification includes:

  • Call Summary: Duration, date, and time
  • Parent Information: Details collected during the call
  • Call Transcript: Written record of the conversation
  • Actions Taken: Any automations triggered or family fields updated

Phone and Availability Tab

Assign your Voice AI Agent to one or more phone numbers in your Enrollio account. When those numbers receive calls, your AI Agent will answer.

You can also set working hours — specific days and times when the agent should handle calls. Outside those hours, calls can go to voicemail or your regular phone system.

Test Your Voice AI Agent

Before going live, test your agent without leaving the setup screen.

  1. In the Phone & Availability tab, look for the Test Your Agent panel on the right side
  2. Choose your call type (Phone Call or Web Call) and scenario (Inbound or Outbound)
  3. Enter the phone number you want to use for testing
  4. Click Call Me to receive a test call
  5. Talk to your agent and evaluate how it responds

After testing, review:

  • Call History: See your past test calls
  • Transcripts & Recordings: Analyze the conversation
  • Summaries & Feedback: Refine your agent's behavior

Pro Tip: Have a few staff members test the agent with different questions — like asking about tuition, tour availability, and age requirements. This helps you catch any gaps in your agent's knowledge.

Make Your Voice AI Agent Reachable

After creating your inbound agent, decide how families will reach it:

  • Phone Number: For traditional phone calls
  • Voice AI Chat Widget: Embed on your website so visitors can talk to your agent directly in their browser

Publish a Phone Number

Give families a dedicated number that routes to your AI Agent. You can share this number on your website, Google Business Profile, social media, and email signature.

  1. Click Edit on your agent
  2. Open Phone & Availability
  3. Assign an Enrollio phone number to this agent
  4. Click Save
  5. Configure your inbound call flow so the agent answers immediately (or after your preferred timeout or voicemail rules)
  6. Share the number publicly

Make your number clickable: Use a tel: link so mobile visitors can tap to call.

Edit and Delete AI Agents

To edit or delete an agent, click the Actions button next to the agent name and select Edit or Delete.

Important: Deleting a Voice AI Agent is permanent. If you want to keep your custom prompts but pause the agent temporarily, simply remove the phone number assignment. The agent will stop handling calls but remain saved in your account.
