Once set up, every time you schedule an online dance class or meeting, Enrollio automatically creates a unique Zoom meeting link. This dynamic link provides enhanced security by giving each session its own access code, reducing the risk of unwanted guests joining your classes.
When a dance class is booked – whether it’s a group class, a private lesson, or a rehearsal – choosing Zoom as the meeting location triggers the system to create a new, unique meeting link. Your parents and students receive an invitation with this link to join the online dance session.

Zoom integration is tied to unique User IDs within Enrollio, not email addresses. This means:
• If a staff member connects their Zoom account under their User ID, that same account cannot be connected to a different User ID—even if the email address is the same.
• If a user’s account is deleted and then restored (with support assistance) resulting in a new User ID, the Zoom account remains linked to the original User ID. In this case, reconnecting the Zoom account under the new User ID is not permitted.
• For clarity, always remember that Enrollio identifies users by their User IDs, so use them and avoid sharing a Zoom account across different users.
Configure Zoom for Your Dance Classes:
User Integrations:• Navigate to: User Profile > Integrations > Zoom > Connect• In the dialog box, click Connect to Zoom (if not already connected).• Enter your Zoom login credentials and click Sign in.• Grant permission for Zoom to access your account by clicking Allow.• You will be redirected back to Enrollio, where Zoom now appears under your User Profile Integrations.
Default Meeting Location:• Navigate to: User Profile > Default Meeting Location > Zoom > Connect• Follow the same steps as above to connect and set Zoom as your default meeting location for online dance sessions.• Select “Zoom” from the dropdown and click Save to update your calendar settings.
Calendar Settings:• Navigate to: Settings > Calendar Settings > User [Your Name] > Meeting Location• Click Connect to Zoom (if not already connected), sign in, and allow permissions.• Choose “Zoom” from the dropdown to ensure that each scheduled dance class automatically includes a Zoom meeting link.
Note: You must be logged in as the specific user to perform these integrations. If you cannot find the Profile setting within your studio’s sub-account settings, ensure that your user role is correctly assigned using the agency-level Team settings.
Configure Zoom for Other Users as an Admin:• If a staff member has already installed the Zoom integration on their Enrollio account, you can set Zoom as their Default Meeting Location through Team Management.• Use the “Login As User” feature if you need to complete the process on behalf of any studio staff member.
Utilize Enrollio’s Workflow Builder to automate reminders for upcoming dance classes or meetings. This ensures that parents and students always have the updated Zoom meeting link.
Create Your Workflow Trigger:• Click Add New Workflow Trigger.• Select Appointment Status as your trigger.• Apply filters such as:
Dance class type (e.g., regular class, rehearsal, or special workshop)
Appointment Status (ensuring all scheduled classes trigger the reminder)

FAQs for Dance Studio Owners
I don't see a Profile tab on my sidebar.• This may mean you are not registered as a staff member under the correct studio sub-account.• Add yourself as a staff member by navigating to: My Staff > + Add Employee > Add Employee > Save.
Handling Meeting Links When Classes Are Edited:• If the class time remains unchanged, the generated Zoom meeting link continues to work as intended.
Handling Meeting Links When Classes Are Deleted:• When a class is canceled or deleted, the Zoom meeting link is permanently dropped unless another class is scheduled for the same time slot with the same link.
Handling Meeting Links When Classes Are Rescheduled:• If you reschedule a class to a different time, a new Zoom link will be generated unless there is another class at the same time slot, in which case the previous link may be reused.
Handling Multiple Zoom Meetings at the Same Time Slot:• If your calendar settings allow multiple classes per time slot, the same meeting link might be reused across those classes.
Existing Zoom Events Not Reflecting in the Calendar:• Currently, the Zoom integration does not pull in events created directly through Zoom, only those scheduled via Enrollio.
Calendar Version Support:• Dynamic Zoom links work exclusively with group calendars in Enrollio.
