To get started, follow these steps within your Enrollio sub-account:
Go to Settings > My Profile tab.
Scroll down to the section Email (2-way sync).
Select Outlook, choose your email provider, and click Connect.
Complete the authorization by entering your Outlook email credentials.
Approve the requested permissions for Enrollio.
Once connected, you can return to My Profile under Settings to check the connection status of your dance studio’s email account.
Once your Enrollio account (for Outlook or Gmail) is connected, here's what happens:
When you initiate an email from Enrollio about class schedules or special events, the full email thread is synchronized with both your Enrollio CRM and Outlook.
If you receive an email in Outlook—for example, an inquiry from a parent whose child is enrolled in dance classes—the email will automatically sync with Enrollio. All subsequent replies in that email thread will maintain the sync.
If you need to send an email directly from Outlook about a new class announcement and want it to sync with Enrollio, simply use the BCC field with the designated address provided by Enrollio. This way, if the parent or guardian is new to your contact list, they will be added to Enrollio, and the email conversation will sync correctly.
Note: Emails from contacts who are also sub-account users (such as staff members managing the studio) will not be synced to protect potentially confidential information.
Please ensure you have enabled the Outlook 2-way Sync feature in Labs. This advanced setting ensures that emails initiated from Outlook sync back to the Enrollio CRM and that features like Auto BCC work as intended. By default, if the Labs option is turned off, only emails started from Enrollio will sync.
Any attachments up to 3 MB (such as class flyers, schedules in PDF or image formats, or even short videos of dance routines) will be synced across the platforms. Attachments larger than 3 MB will not sync over.
Update Email: If your studio's primary email address changes (for instance, you decide to use a new email for class management), you can update your connected email ID without having to disconnect the previous connection. New outbound emails from Enrollio will sync with the newly added email address, while emails from the previously connected address will stop syncing.
Disconnect Email: Should you need to disconnect your Outlook account from Enrollio, this option will stop the sync between the CRM and your Outlook. Once disconnected, any further email exchanges will not be synced.
Enrollio is flexible with how you manage your studio's emails:
Individual Emails: When you connect your personal Outlook account, the Outlook email address becomes the sender domain for individual communications such as scheduling classes, updating parents, or sharing studio news.
Bulk Emails:
If you enter your Outlook email under the “From Field” within Enrollio after setting up the two-way sync, that email will act as the sender for bulk emails such as newsletters or event invitations.
If the “From Field” is left blank, the sender domain defaults to your studio’s main provider at the sub-account level.
For bulk emails sent from a different email address than the connected Outlook account, the sub-account level provider is used as the sender domain.
Workflow & Automation: Emails that are part of automated workflows—like recurring class reminders or follow-up emails after a trial class—will continue to be sent using the sub-account level provider. Note that these emails will not be synced with your Outlook inbox.
