As a studio owner, you know how important it is to keep your student records up-to-date—especially when a student is no longer attending classes. With this powerful tool, you can automatically remove all records of a student from your system when specific criteria are met. Please note that deleting a contact is irreversible, so it’s essential to configure this action with great care.
The Delete Contact action in Enrollio allows you to automatically remove a student’s record and all associated data from your scheduling and management system. You might use this action when a student has left your studio permanently, or when their record is no longer needed. Keep in mind that once a student record is deleted, any class history, notes, and other associated information (like past communications and performance details) are permanently lost.
When setting up your workflow in Enrollio, follow these steps to ensure you correctly remove student records when necessary. Before activating, always verify the filter conditions to confirm that only the correct student records will be deleted, and run a test workflow to avoid accidental data loss.
Open the Workflow Builder
Navigate to your studio’s Enrollio dashboard and go to Automations.
Open the workflow you want to modify or create a new one dedicated to managing student records.
Add the Action
In the Workflow Builder, click the plus (+) icon to access the actions menu.
Search for or scroll down to locate the Delete Contact action.
Place the Delete Contact action at the end of your workflow because removing the student will immediately terminate the workflow. (Any actions placed after this will not be executed.)
Configure the Action
Note that the Delete Contact action does not have additional settings—it simply deletes the current student in the workflow.
Double-check that your conditions accurately target the right records, so you won’t accidentally lose important history.
Save the Action
Click "save action" to include the Delete Contact action in your workflow.
Test your workflow thoroughly to ensure it behaves as expected before publishing it and putting it into production.
