The “Assign To User” action in Enrollio automatically assigns student inquiries, registration forms, or tasks to one or more team members based on your predefined criteria.
It supports both single-user assignments and multi-user distributions, using methods such as round-robin or custom traffic splits.
This feature ensures a balanced workload, making it easier to manage busy enrollment periods, class scheduling, and special events at your studio.
Automated Assignments:
Save time by automatically assigning new student inquiries or bookings to your team without manual intervention.
Fair Distribution:
Use round-robin or equally split traffic methods to ensure that dance instructors, front desk staff, and managers all receive a fair share of weekly tasks.
Custom Allocation:
Set custom ratios to reflect your team's strengths; for example, allocate more tasks to lead instructors during peak times.
Improved Tracking:
Clearly define which team member is responsible for each student or task, enhancing accountability and follow-up.
Flexible Workflows:
Adapt this action for various studio needs, from managing class sign-ups and private lesson schedules to organizing performance rehearsals.
Open the Enrollio workflow builder.
Click the “+” icon to add a new action.
Select “Assign To User.”
Action Name:
Give the action a descriptive name (e.g., “Assign to West Coast Studio Staff”) so that it is easy to identify within your workflow.
Select the Users:
Use the dropdown menu to choose one or more staff members for task assignments.
Single User:
All tasks (such as student inquiries or class registrations) are assigned to that one staff member.
Multiple Users:
When more than one user is selected, assignments rotate among them. For example, if you select two instructors, the first inquiry goes to the first instructor, the next goes to the second, and the pattern repeats.
Distributing Equally:
When you choose "Equally" under the Split Traffic option, assignments are evenly distributed among all selected team members, much like a round-robin schedule.
Distributing Unevenly:
Selecting "Unevenly" lets you customize the ratio for each team member. For instance, you might set a ratio of 5:2 where Instructor A handles five student inquiries for every two handled by Instructor B.
Only Apply to Unassigned Contacts:
When this toggle is on, the workflow assigns tasks only to student inquiries that are not yet assigned.
If turned off, an inquiry may be re-assigned to a new team member, even if it already has an assigned owner.
Save your workflow configuration before exiting the page.
Thoroughly test the workflow to ensure that assignments are occurring as expected before turning on the “Publish” toggle.
Once you’re confident that your workflow is complete and functioning correctly, enable the “Publish” toggle to make your automation live.
Without enabling the toggle, the workflow will remain in draft mode and will not process new student inquiries or tasks.
What is the purpose of the “Assign To User” action in a workflow?
It automates the process of delegating student inquiries, registrations, or other studio tasks to specific team members, ensuring efficient workload management.
What happens if I select only one user in the “Assign To User” action?
All triggers, such as new class sign-ups or inquiries, will be directed to that single team member without any rotation.
Can I use the “Assign To User” action without turning on the “Only Apply to Unassigned Contacts” toggle?
Yes, but if an inquiry or task is already assigned, it may be overwritten by a new assignment when the trigger fires.
What is the difference between Round-Robin Assignment and Equally Split Traffic?
Round-robin assigns tasks sequentially to each team member, while equally split traffic ensures that all users receive an identical number of assignments over time.
Using Enrollio’s “Assign To User” workflow action helps keep your dance studio running smoothly by ensuring that every task, student registration, or inquiry is promptly and fairly distributed among your team members. Enjoy a more efficient way to manage your studio operations and focus on what you do best—bringing the joy of dance to your students!
