Looking to automate how you find parent or student records in Enrollio? The Find Contact action makes it easy to locate contacts in your database using details like name, email, phone, or even a unique student ID — all without manually searching!
This guide will walk you through how to set it up step-by-step so you can keep your enrollment records organized and your follow-up messages personalized.
A parent fills out an online trial class form, and you want to send a reminder — but only if they’re already in your system.
You receive a new registration with a Dance Enrollment ID and want to match it to an existing student.
Before sending a class promo, you want to make sure the right contacts are included.
Step 1: Open or Create a Workflow
Go to Automations in your Enrollio dashboard.
Either click Create New Workflow or open an existing one.
Step 2: Add a Trigger
Choose when the workflow should start.
For example, use "Form Submitted" or "Inbound Webhook" if your form is hosted outside of Enrollio.
Step 3: Add the "Find Contact" Action
Click the + icon under your trigger.
Select “Find Contact” from the list of actions.
Give the action a name like “Check for Existing Parent Contact”.
Step 4: Choose Fields to Search
You can search using any of the following:
First Name
Last Name
Phone
Custom Fields (like Dance Enrollment ID)
You can use multiple fields if you want to make the search more specific.
If you need a custom field that doesn’t exist yet (e.g., “Class Level”), go to Settings > Custom Fields to add it.
Step 5: Test and Save
Add a test contact or test webhook to verify the setup.
Once it works correctly, click Save.
Step 6: Publish Your Workflow
Toggle your workflow ON to start using it.
