Before you begin, please ensure the following:
Admin Access: Only users with an Admin role can perform imports and exports.
File Format: The file must be in CSV format.
Single Sheet: Ensure your spreadsheet has only one sheet/tab.
File Size: The CSV file should be smaller than 50MB (most typical CSVs with a few columns and up to 10,000 student records are usually ~500KB).
Header Row: The first row should not be blank. It must include a header row with at least one column header that corresponds to a field in Enrollio.
Phone Number Formatting: When adding phone numbers that require a "+" sign (for international contacts), start with an apostrophe (e.g., '+441234567890) to ensure proper formatting.
Note: File Upload and Signature Fields are not supported during import.
To get your student and parent contacts into Enrollio, follow these steps:
Preparing Your CSV and Custom Fields:
Set up your CSV file to reflect your student information.
Organize fields for student details such as First Name, Last Name, Parent Email, Phone Number, Dance Class, etc.
Create any custom fields in Enrollio before you import if your CSV has columns that don’t match the default fields.
Checking for Duplicates:
Clean your list to remove duplicates before importing. This is especially important when managing class rosters and parent contacts to avoid issues with enrollment communications.
Importing Your Student Records:
Enrollio offers two methods based on the data available in your CSV file:
Method A – CSV Contains Phone Numbers and/or Email Addresses:
Follow the CSV setup guide specific to Enrollio for when your CSV includes a phone number and/or email.
Note: The “Add to Workflow/Campaign” toggle works only for new records, not for updates.
Method B – CSV Does NOT Contain Phone Numbers and/or Email Addresses:
For situations when your CSV lacks a phone number or email, refer to the "Getting Student ID" video guide.
Note: The unique identifier (Student ID) column will only appear if your CSV header includes “Student ID”. When selecting a unique identifier (Email, Phone, or Student ID), Enrollio will check based solely on the field selected.
Tip: For a mixed CSV (some student records have an email or phone number, while others do not), use the 'secondary preference' option. Enrollio will search for the primary field (e.g., Email) and then use the secondary (e.g., Phone) if the primary is missing.
For dance studios that have students with multiple contact points (for instance, multiple parent emails or phone numbers):
Enrollio’s CSV bulk import supports “Additional Emails” and “Additional Phone Numbers.”
Ensure all additional emails or phone numbers are in one column, separated by commas, slashes, or semicolons.
During the import, Enrollio uses both the primary and additional fields to enforce uniqueness. If multiple duplicate matches occur in additional fields, those specific details might be omitted.
Scenario: If your CSV’s main email is blank but the additional email field contains values, the first additional email will automatically serve as the primary email.
Important: When updating an existing record, the new emails or phone numbers will merge with those already assigned to the student record.
Notes Field:
You can only import one note per student record, with a limit of 5000 characters.
If you need to add more than one note or exceed the character limit, use a custom “large text” field to capture the extra details.
Do Not Disturb (DND) Settings:
When importing a CSV with a DND column, note that the student will be set to DND for all channels (email, SMS, etc.).
If you prefer to disable notifications for specific channels (for example, only for SMS), create a workflow in Enrollio that applies the appropriate tag (e.g., “DND SMS”) to that student record.
Set Up Your CSV:
Prepare columns for necessary student information and create corresponding custom fields in Enrollio if needed.
Clean Your List:
Check and remove duplicates for smooth enrollment communications.
Choose Your Import Method:
Use Method A if your CSV includes email/phone numbers.
Use Method B if your CSV does not include these basic identifiers.
Map Additional Contact Fields:
Utilize the “Additional Emails” and “Additional Phone Numbers” fields as applicable, ensuring separation by commas, slashes, or semicolons.
By following these guidelines, you can easily update or add new student records to Enrollio, ensuring your dance studio’s enrollment data stays current. Happy importing and may your classes be always full and your schedule perfectly in sync!
